Responsibilities

  • Serve as the point person for maintenance, mailing, supplies, equipment, bills, errands, and shopping
  • Schedule meetings and appointments
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Ensure that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers, and office lease
  • Manage office G&A budget, ensuring accurate and timely reporting
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues (e.g. stationery, hardware, and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Plan in-house or off-site activities such as parties, celebrations, and conferences

Qualifications

  • High school diploma
  • Very good organizational and multi-tasking abilities
  • Excellent communication skills
  • Very good knowledge of MS Office
  • A fast typist with knowledge in stenography and taking dictations
  • Working knowledge of office devices and processes
  • Familiarity with office procedures and basic accounting principles
  • Proven experience as office clerk or other clerical position

Job Highlights

  • 2 years of experience working as an Office & Workplace Coordinator/Specialist
  • Experience with employee engagement, event planning, inventory management, ticketing system, hospitality
  • Experience using Slack & Google Suite
  • A self starter who has high attention to detail and initiative
  • Someone who has worked in the Tech/SaaS space would be preferred
  • Part time schedule / 20hrs a week
  • Part time schedule; 20-30hrs a week - FULLY ONSITE!

Compensation

  • $30.27 - $35.14 /hour Pay Rate
