Premier Sport Psychology is a contract-based sport and performance psychology practice serving professional athletes, collegiate programs, corporate organizations, and individual clients across the Twin Cities and beyond. Our reach spans NFL, NBA, WNBA, MLB, PWHL, and USA Olympic teams, Power 4 collegiate athletic departments, and high-performing corporate organizations.
We are growing and the right Client Experience Specialist will be a direct contributor to that growth. This role sits at the front door of Premiers individual practice. How you represent us in every conversation shapes whether someone becomes a client.
This role will be hybrid and 8 AM-2 PM or 9 AM-3PM
What youll do
Client intake and scheduling:
- Serve as the first point of contact for all inbound calls, emails, and inquiries from individuals seeking Premiers individual session services
- Conduct warm, professional intake conversations that help prospective clients feel heard, understood, and confident in taking the next step
- Match prospective clients to the right provider based on their needs, goals, availability, and fit
- Schedule initial appointments accurately and efficiently, confirming all details with clients and providers
- Manage the intake pipeline tracking inquiries, follow-up status, and scheduling outcomes in Premiers systems
- Handle rescheduling, cancellations, and waitlist management with professionalism and care
Lead conversion and practice growth:
- Proactively follow up with inbound inquiries that did not convert to a scheduled appointment by phone, email, or both
- Work through Premiers existing lead database to re-engage past inquiries and individuals who expressed interest but did not schedule
- Have confident, consultative conversations about Premiers services addressing questions, reducing hesitation, and helping prospective clients take the next step
- Identify patterns in why inquiries dont convert and surface those insights to leadership
- Collaborate with the Vice President of Clinical Services on outreach initiatives that support individual session volume
Required qualifications
- 1 years of experience in a customer-facing role requiring phone communication, relationship-building, and follow-through healthcare, fitness, wellness, or similar settings
- A warm, confident, and professional phone presence can put someone at ease quickly and guide a conversation without being pushy
- Highly organized can manage a pipeline of leads and follow-ups without letting things fall through the cracks
- Genuine interest in sport, mental health, or performance psychology can speak credibly about why someone might benefit from Premiers services
- A self-starter who follows through independently
