We are seeking a detail-oriented and service-driven Assistant Property Manager to support the day-to-day operations of a portfolio of commercial properties. Key Responsibilities
- Process invoices and track payments in accordance with company procedures across multiple commercial properties
- Generate and distribute monthly tenant billing statements, ensuring accuracy and timeliness
- Calculate and reconcile monthly utility billbacks (e.g., electricity, water, HVAC)
- Maintain and track Certificates of Insurance (COIs) for tenants and vendors
- Assist with lease administration, including abstracting leases, tracking critical dates, and ensuring compliance with lease terms
- Support rent collection efforts, including monitoring delinquencies and following up as needed
- Coordinate tenant move-ins and move-outs, including suite inspections and documentation
- Serve as the primary point of contact for tenant requests and concerns, providing prompt and professional resolution
- Dispatch and coordinate maintenance requests with vendors and engineering staff
- Act as a liaison between tenants, vendors, and property management to ensure efficient communication and service delivery
- Maintain records of building access cards, parking assignments, and overnight parking requests
- Assist with vendor management, including contract tracking, service scheduling, and performance follow-up
- Maintain organized records of invoices, contracts, purchase orders, and correspondence
- Conduct periodic property inspections to ensure cleanliness, safety, and overall asset appearance
- Provide on-site support at multiple properties as needed
- Assist Property Managers with budgeting, reporting, and special projects
- Perform other duties as assigned
Qualifications & Skills
- 3–5 years of experience in commercial property management, property administration, or a related field
- Working knowledge of commercial leases, CAM reconciliations, and basic accounting principles
- Familiarity with property management systems (IMPAK experience preferred)
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent written and verbal communication skills
- Strong customer service and interpersonal skills
- Highly organized with strong time management and multitasking abilities
- Detail-oriented with a high level of accuracy
- Ability to work independently and collaboratively in a team environment
- Ability to prioritize tasks and meet deadlines in a fast-paced setting
Preferred Qualifications
- Experience supporting multiple properties or a portfolio environment
- Basic understanding of building systems (HVAC, plumbing, electrical)
- Real estate license or pursuit of industry certifications (e.g., CPM, RPA) is a plus

Salary : $65,000 - $68,000
