Essential Responsibilities
- Provide general administrative support to the department, including handling phone calls, emails, and inquiries.
- Maintain and organize physical and digital records, documents, and databases.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Prepare and edit documents, reports, and presentations as needed.
- Act as a point of contact for internal and external stakeholders, demonstrating professionalism and courtesy.
- Manage and update contact lists and directories.
- Data Entry and Record-Keeping:
- Input and update data accurately in spreadsheets and databases.
- Maintain confidentiality and security of sensitive information.
- Efficiently schedule and coordinate activities, ensuring timely completion.
- Answer the phones in a timely manner and direct calls to appropriate team member.
- Coordinate supply orders while ensuring fiscal responsibility.
- Coordinate and oversee facilities related projects.
- Follow up to ensure that overall facility is maintained in a safe and functional manner.
- High school diploma or equivalent; associate's degree or relevant certification is a plus.
- Proven experience in an administrative or clerical role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience using Electronic Medical Records preferred.
- Excellent organizational skills and attention to detail.
- Strong communication and interpersonal skills.
- Ability to multitask and manage time effectively.
- Basic knowledge of office equipment and technology.
- Professional demeanor and the ability to maintain confidentiality.
