The Marketing Project Manager is the operational backbone of the PHG Marketing department — responsible for keeping projects on track, content accurate, timelines met, and cross-departmental communication flowing. This individual reviews all marketing content before it goes out, manages the status of active initiatives across the team, and serves as the primary liaison between the marketing department and clinical staff, practice leadership, department heads, and the C-suite. The ideal candidate is exceptionally organized, a clear communicator, and someone who takes ownership of details that others might miss. Healthcare experience is a strong plus.
Responsibilities
- Own the marketing team's project calendar — tracking active initiatives, deadlines, approvals, and deliverable statuses across all PHG entities
- Set and manage timelines for content production, campaign launches, event materials, and design requests
- Identify bottlenecks, flag delays early, and drive projects to completion with minimal intervention from the Marketing Manager
- Maintain project management tools (HubSpot or equivalent) with up-to-date statuses, owners, and due dates
- Review all marketing content — digital, print, social, clinical, and video — before publication or distribution for accuracy, brand alignment, and compliance
- Serve as a meticulous second set of eyes on all outgoing materials; catch errors in copy, design, data, and clinical claims before they reach the public
- Coordinate revision cycles between content creators, designers, and approving stakeholders; track changes and ensure feedback is incorporated correctly
- Maintain version control and a final approval log for all published materials
- Act as the primary point of contact between the Marketing department and clinical staff, office managers, department heads, and C-suite leadership
- Collaborate directly with physicians and clinical specialists to ensure all content accurately reflects procedures, services, and clinical standards
- Coordinate marketing requests from non-marketing departments — intake, prioritize, and route to the appropriate team member
- Facilitate regular check-ins and status updates between marketing and key internal stakeholders
- Document and maintain marketing workflows, SOPs, and approval processes
- Build and manage intake processes for new content requests from across the organization
- Track and report on project completion rates, revision cycles, and timeline adherence to the Marketing Manager

Job Qualifications
- 2 years of experience in project management, marketing operations, or a related coordination role
- Exceptional attention to detail — demonstrated ability to catch errors others miss
- Strong written and verbal communication skills; comfortable interfacing with senior leadership and clinical staff
- Experience managing multiple concurrent projects with competing deadlines
- Proficiency with project management or CRM tools; HubSpot experience a strong plus
- Collaborative and calm under pressure — a relationship-builder across departments
Preferred:
- Healthcare, medical practice, or regulated-industry experience
- Familiarity with marketing content workflows — from brief to approval to publication
- Experience with clinical content review or working alongside medical professionals
Pay: $23.00 - $26.00 per hour
