Duties
- Greet visitors warmly and manage the front desk with professionalism and courtesy
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
- Manage calendars, schedule appointments, and coordinate meetings for staff members
- Handle clerical duties such as filing, proofreading documents, and maintaining organized records
- Support bookkeeping activities using QuickBooks or similar accounting software
- Assist with office management tasks including supply inventory, mail distribution, and general administrative support
- Provide excellent customer service by addressing inquiries promptly and professionally
- Support personal assistant tasks as needed, including calendar management and task prioritization
Qualifications
- Proven experience in an office environment with strong clerical and administrative skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong typing skills and computer literacy to handle data entry and document proofreading accurately
- Exceptional phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a dental or medical receptionist or personal assistant is a plus
- Demonstrated customer service skills with a friendly, professional demeanor
- Knowledge of office management best practices and time management techniques
