We are seeking a highly organized and proactive Administrative Assistant to provide direct support to the Senior Manager in the Joint Affordability War Room (AWR) . The AWR is a fast-paced, collaborative workspace where the F-35 Joint Program Office, Pratt & Whitney, and Lockheed Martin work together to drive affordability initiatives. In this role, you will coordinate standard activities derived from the AWR and interface with internal and external personnel from multiple companies and U.S. Services at various levels.
Key Responsibilities:
- Provide administrative support to the Senior Manager, serving as a key coordination point for the AWR.
- Manage a dynamic, multi-disciplinary schedule via Microsoft Outlook, including rapid notification of schedule changes for office activities, conference rooms, and visitation schedules.
- Anticipate and coordinate regularly with the Program Manager on both near-term and long-term staff actions.
- Support front office and staff meeting agenda coordination; attend meetings, take minutes, and create action items as required.
- Arrange domestic and international travel and prepare expense reports as needed.
- Manage multiple audiovisual and telecommunications devices within the facility.
Basic Qualifications:
- Administrative Assistant experience (3 years preferred, see below)
- Proficient in MS Office (Outlook, Word, Excel, PowerPoint)
- Experience managing emails, calendars, and schedules
- Experience in travel planning and expense reporting
- Capable of obtaining a DoD Security Clearance
- 3 years of Administrative Assistant experience assisting senior-level leaders in a military or DoD environment
- 3 years of experience with MS Office (Outlook, Word, Excel, PowerPoint)
- 3 years of experience managing emails, calendars, and schedules
- 3 years of experience in domestic and international travel planning and expense reporting
Desired Skills:
- Ability to prioritize and operate at the next level of leadership
- Advanced office administration skills, including planning, communications, and information distribution
- Advanced user of MS Outlook (email and calendar)
- Advanced user of Microsoft Office Word, Excel, PowerPoint
- Expert in web-based applications on desktop and mobile devices
