The Secretary will be responsible for various tasks, including event planning, calendar management, and customer service. Duties:
- Greet patients and visitors, answer phone calls, and respond to emails in a professional manner
- Manage the office calendar, schedule appointments, and ensure that all records are up-to-date
- Organize and coordinate events, including seminars and workshops, and maintain event records
- Provide administrative support to the team, including transcribing dictation and preparing reports
- Assist with front desk duties, including reception and insurance verification
- Maintain the office's computerized system, ensuring that all patient data is accurate and secure
- Use QuickBooks to manage the office's financial transactions and accounts
- Manage the office's inventory and supplies, and ensure that all equipment is functioning properly
- Utilize personal assistant skills to assist with daily tasks and errands
- Review and proofread documents, reports, and other written materials to ensure accuracy and quality
- Perform other administrative tasks as needed
Qualifications:
- High school diploma or equivalent required
- Experience working in a office or similar setting
- Proficiency with computerized systems and software, including QuickBooks
- Excellent communication and organizational skills
- Ability to multitask and prioritize tasks
- Strong attention to detail and ability to maintain confidentiality
- Knowledge of event planning and calendar management
- Ability to transcribe dictation and prepare reports
- Experience with personal assistant and office management responsibilities
- Basic knowledge of receptionist duties
- Ability to proofread documents and reports
- Familiarity with computerise systems and software
