In this role, you will provide hands-on administrative and operational support to the Chief Executive Officer and Chief Science Officer. This role is critical to enabling executive focus, improving organizational efficiency, and supporting cross-functional coordination in a regulated, high-impact environment. The ideal candidate is proactive, detail-oriented, and comfortable operating with discretion in a dynamic setting.This position will be based in our Manhattan office. We are unable to consider remote workers or individuals who are not currently based in the US and legally authorized to work in the US.Key ResponsibilitiesExecutive Support: Manage complex calendars, scheduling, and prioritization for the CEO and additional executives. Coordinate domestic and international travel, including itineraries and expense reporting. Prepare meeting agendas, briefing materials, presentations, and follow-up action items.Communication & Coordination: Serve as a primary point of contact between executives and internal/external stakeholders. Draft, edit, and manage executive correspondence and internal communications. Coordinate leadership meetings, board meetings, and investor or partner engagements.Operational & Project Support: Track key initiatives, deadlines, and deliverables across functions (R&D, Regulatory, Clinical, Operations, Commercial). Support special projects, including company event planning and cross-team initiatives. Assist with onboarding of senior hires and coordination of company offsites.Confidentiality & Compliance: Handle sensitive and confidential information with discretion and professionalism. Support document management and organization.Skills, Knowledge and Expertise5 years of experience as an Executive Assistant or in a similar senior administrative role, preferably in a startup, healthcare, or finance environmentExperience supporting C-level executives and interacting with boards, investors, or external partnersExceptional organizational, time-management, and prioritization skills. Strong written and verbal communication skills. High attention to detail with the ability to manage multiple competing priorities. Sound judgment and ability to anticipate executive needsStrong digital fluency, including comfort with AI tools, workflow automation, and modern productivity platforms. Proficiency with common productivity tools (e.g., Google Workspace, Slack, Zoom, calendar and expense tools, etc. Understanding of startup dynamics, including rapid growth, evolving priorities, and limited structureFamiliarity with regulated industries (medical devices, biotech, pharma, or healthcare) is a strong plusAbility to understand and navigate organizational structure and cross-functional workflowsProactive, resourceful, and solutions-oriented. Comfortable working independently while collaborating across teams. High integrity, discretion, and professionalism.
