Job Summary
The Office Coordinator supports daily office operations by providing a welcoming front-desk experience and maintaining an organized, professional workplace. This role serves as a key point of contact for visitors and employees while supporting administrative, facilities, and operational needs such as mail processing, supply coordination, shared space upkeep, and onsite meal coordination. The ideal candidate is organized, service-oriented, and adaptable, with a strong attention to detail and a collaborative mindset.
Major Duties and Responsibilities:
- Serve as the first point of contact for visitors and employees by delivering a professional, welcoming front-desk experience; answer, screen, and direct incoming phone calls; coordinate visitor check-in, locate staff as needed, and escort guests to meeting locations.
- Manage the reception area and shared office spaces to ensure a clean, organized, and professional environment, including but not limited to conference rooms, break areas, and common workspaces.
- Provide general office support and light facilities assistance, including routine tasks such as brewing coffee, watering plants, tidying communal spaces and assisting with other office maintenance needs.
- Monitor and respond to warehouse door access as required.
- Receive, sort, and distribute daily mail and packages; open and route mail to appropriate parties as directed; receive and coordinate additional deliveries; scan and electronically distribute documents to Accounts Payable and other departments as needed.
- Scan receipts and supporting documentation upon request.
- Print, prepare, and mail reports, receipts, and other materials as requested.
- Maintain kitchen and coffee service areas, including light cleaning, dish management, inventory tracking, ordering and restocking supplies, and performing weekly coffee brewer maintenance.
- Coordinate onsite meals and catering, including planning, vendor research, ordering, pick-up, set-up, and tear-down of meal service.
- Process dropship and returned dropship orders in accordance with internal procedures.
- Support daily USPS processing and mail handling.

Minimum Qualifications
- High-school degree, or equivalent and 2 years direct work-related experience
- Strong interpersonal skills and ability to communicate (verbal/writing) effectively at all levels and with all customers, internally, and externally
- Excellent verbal and written communication skills. Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational skills, ability to prioritize multiple priorities
- Strong attention to detail; including the ability to accurately draft and proof written correspondence, with few errors
- Dependable and punctual; ability to work an 8:30AM-5:00PM schedule Monday-Friday.

Work Environment:
This position is in an office/lab environment with frequent use of a computer and related hardware. A person must be able to stand and/or sit; see, hear and speak; use hands to type, handle or feel tools or controls; use hands and arms to reach. Occasionally lifting/moving up to 20lbs is also required.
In addition, this position will require travel and use of a personal vehicle to transport mail, product or other items to Precision Analytical locations, vendor or mail drop off locations.
