Project Accounting & Billing Coordinator

Prairie Engineers is looking for an organized, detail-oriented individual to join our Accounting team and work closely with our Project Managers. The primary focus of this position is client invoicing and project accounting support - helping PMs get invoices prepared accurately, submitted on time, and consistent with each client's contract and billing requirements. This person also will provide backup and support for payroll, accounts receivable, accounts payable, and other accounting functions as needed and will be on-site in either our Columbia, Hillsboro, or Springfield IL offices.

What You'll Do:

• Work closely with Project Managers throughout the monthly billing process.
• Prepare draft and final client invoices, including required backup and clientspecific documentation.
• Review project charges, billing rates, contract limits, subconsultant costs, and other information needed for accurate invoicing.
• Help PMs identify and resolve billing issues, unbilled items, incorrect charges, and other projectaccounting questions.
• Submit invoices through client systems and portals and maintain organized billing records.
• Assist with project setup and maintenance of billing terms, rates, budgets, and contract information.
• Help monitor outstanding receivables and work with PMs when client followup is needed.
• Provide backup and support payroll, accounts payable, and other Accounting team responsibilities.
• Look for practical ways to make our billing and accounting processes easier, faster, and more accurate.
  
  

What We're Looking For:

The ideal candidate reports to the Chief Administrative Officer and is someone who is accurate, dependable, and comfortable working directly with busy Project Managers. You should be able to keep a lot of projects moving at once, follow through on details, ask questions when something doesn't look right, and communication comfortably with both technical staff and clients.

Experience with project billing or accounting in an architecture, engineering, or professional-services firm is especially valuable. Deltek Ajera experience is a big plus. Experience with project-based accounting systems and payroll is also helpful. Strong Excel skills and experience with government or DOT client billing are desirable.

Accounting, business, or related education is helpful, but relevant experience and the ability to do the work well are more important to us than a particular degree.

Salary range $25.00-$40.00 per hour determined by experience, knowledge, skills and abilities of the applicant, education, as well as internal and external benchmarking.
