Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Answer multi-line phone systems promptly and professionally, providing accurate information or routing calls as needed
- Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and document proofreading to ensure accuracy and organization of office records
- Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer support by addressing inquiries via phone or in person with courteous professionalism
- Maintain a tidy reception area, ensure proper filing systems are in place, and assist with clerical tasks to support daily operations
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience managing multi-line phone systems and practicing professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with office management routines such as data entry, filing, proofreading, and calendar management
- Experience in customer service roles that require excellent interpersonal skills and a positive attitude
- Knowledge of medical or dental receptionist duties or personal assistant experience is a plus but not required
