Position Overview
PPHC is seeking a highly motivated Intern to support the Human Resources team, with a primary focus on digitizing and organizing physical personnel and HR records, improving document accessibility and retention, and supporting data integrity across HR systems. This internship offers hands-on exposure to HR operations and administrative support in a fast-paced environment, including direct project work supporting the EVP of Human Resources.
As an Intern, you will:
Digitize and organize physical HR documents:
- Scan and digitally file physical documents into the appropriate digital repositories following established naming conventions.
- Create and maintain tracking logs to monitor digitization progress and document status.
- Support secure handling of confidential information in alignment with HR privacy practices.
Support data integrity across HR systems:
- Assist with audit and reconciliation of employee and organizational data across HR platforms (e.g., HRIS, benefits vendors, etc.) to ensure accuracy and consistency.
- Identify data discrepancies, document findings, and escalate issues with clear notes and supporting detail.
- Create process documentation (checklists, SOPs) to support repeatable data quality reviews.
Support recruitment lifecycle:
- Conduct phone screens to assess candidate qualifications, interest, and fit; draft candidate assessment summaries for internal review.
- Maintain accurate candidate tracking across open positions via Excel including interview stage, candidate assessment summaries, and next steps.
- Support recruitment coordination through scheduling interviews, coordinating with hiring managers and candidates, and preparing interview materials and communications.
- Conduct phone screens to assess candidate qualifications, interest, and fit; draft candidate assessment summaries for internal review.
Review and proofread work products:
- Cross-check AI-generated work products, including summaries, spreadsheets, or drafts, against original documents to confirm key terms and data points are correctly captured.
- Compare AI-assisted outputs against original documents to confirm accuracy of extracted terms and details; flag discrepancies, omissions, or unclear language for correction.
Provide administrative and operational support to the EVP of Human Resources:
- Support meeting preparation (agendas, notes, and follow-ups) and help track action items.
- Assist with scheduling, calendar coordination, and general correspondence as needed.
- Provide general administrative support (data entry, file organization, incoming mail screening and responses, and ad hoc projects).
- Perform other duties as assigned to achieve departmental and firmwide goals.
