Job Summary
We are seeking a highly organized and proactive Staffing Coordinator to manage and optimize our workforce scheduling and recruitment support functions. This pivotal role involves close collaboration with department managers to assess staffing needs, facilitate efficient hiring processes, and ensure seamless scheduling to maintain a productive and compliant work environment. The ideal candidate will combine exceptional attention to detail with strong communication skills to ensure all staffing activities align with internal policies, state regulations, and federal labor laws.
Key Responsibilities & Duties
Workforce Planning & Scheduling:
● Determine and implement staffing and scheduling needs across all departments to ensure optimal coverage and quality of care.
● Coordinate with the HR, Learning and Client Services to ensure accurate employee compensation, timekeeping records, and timely submission of payroll data
● Assist with scheduling software/systems to track shifts, absences, and staffing metrics effectively.
Recruitment & Onboarding Support:
● Assist the HR department with hiring activities and, including applicant and onboarding management.
● Source and screen potential candidates, conduct initial phone screenings/interviews, and coordinate subsequent interviews with hiring managers.
● Review Bios and present to agencies to connect with available clients.
● Facilitate client/caregiver interviews.
● Assist the HR department with the verification process for all required credentials and licenses (e.g., background checks, professional certifications relevant to Oregon healthcare requirements)
Compliance & Administration:
● Ensure all staffing operations strictly adhere to federal, state, and local employment laws and regulations (e.g., EEO, HIPAA, Oregon labor laws).
● Maintain accurate, confidential, and up-to-date employee records and databases.
● Prepare and submit regular reports to management on staffing operations, key metrics, turnover rates, and emerging trends

Required Qualifications & Skills
Education & Experience
● High school diploma or equivalent required.
o Associates or bachelor's degree in HR or related field preferred.
Skills & Competencies
● Emotional Intelligence: Ability to build rapport with diverse staff and vulnerable client populations.
● Exceptional organizational skills and meticulous attention to detail.
● Excellent verbal, written communication, and interpersonal abilities to foster strong relationships with staff, management, and external partners.
● Proficiency with Microsoft Office Suite (Word, Excel), Google tools, and adeptness in learning new software.
● Strong problem-solving skills and the ability to work effectively under pressure and manage competing priorities simultaneously.
● Demonstrated ability to handle confidential and sensitive information with integrity, discretion, and professionalism.
