Job Title: Bookkeeper
FLSA Status: Non-Exempt Classification: Classified
Reports to: Principal
Summary
The bookkeeper is responsible for the daily management of school funds and the related records.
Essential Duties and Responsibilities include the following.
- Maintains a complete and systematic set of all records of financial transactions of the school.
- Records detail of all school financial transactions in appropriate journals and ledgers.
- Summarizes and balances entries recorded in individual accounts on a monthly basis; prepares and distributes monthly account statements.
- Balances all in house accounts to a zero or a positive amount.
- Traces errors and records adjustments to correct charges or credits posted incorrectly.
- Creates back-up copies of all financial records.
- Processes, types, and tracks, purchase orders.
- Monitors account balances to ensure that expenditures are within budget.
- Collects, receipts, and deposits all money received by Powhatan High School.
- Maintains detailed records of all paid student fees.
- Records and collects student debts from fees, fund raisers, and lost or damaged textbooks.
- Collects and receipts PHS Summer School fees.
- Collects and receipts Adult Education fees
- Receives and processes all school invoices for purchase or services.
- Executes all checks for payments of purchases or services.
- Disburses money due to and requests reimbursements from Central Office.
- Prepares travel ledgers for each department, record travel requests and keeps expenditures within budgeted amount
- Assists school principal in preparation of the school budget.
- Prepares money boxes for athletics and completes Report of Ticket Sales Reports per VSHL requirements.
- Meters outgoing mail and parcels, monitors account balance.
- Assists in organizing and staffing Orientation.
- Prepares all yearend reports for Central Office and yearly auditors
- Follows all School Board and DOE policies governing school funds.
- Stores all financial records.
- Assists other office clerical staff as necessary Performs other duties as required.
Qualifications
Knowledge of bookkeeping and accounting procedures. (Prior bookkeeping experience preferred.)
Effective computer skills with proficiency in electronic mail, Excel, Word, and accounting software.
Ability to communicate effectively orally and in writing.
Ability to operate basic office machines such as a copier, fax, postage meter, and multi-line phone system.
Ability to meet multiple deadlines, handle multiple tasks, and work under pressure.
Ability to organize and improve job functions.
Ability to work with and cooperate with staff, students, parents, and supervisory staff.
Education and/or Experience
High school diploma or equivalent.
Business or computer courses and/or prior accounting or bookkeeping experience preferred.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of parents or public.
Reasoning/Other Abilities
Ability to apply common sense understanding to carry out simple one-or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
Physical Demands
Work involves limited physical tasks and may involve infrequent operation of office equipment. Above-average amount of walking, bending, standing, stooping, and lifting in an office environment.
