The Generator Coordinator is a key player in keeping our residential and commercial generator services running smoothly. In this role, you’ll be at the center of the action through coordination of service schedules, ensuring accurate billing, managing contract renewals, and serving as a critical communication link between customers, field technicians, and internal teams. What You’ll Do:
- Manage weekly billing for residential and commercial generator work. This includes time and material billing and monthly service contract billing.
- Maintain generator maintenance contracts for new customers and cell kit monitor subscriptions.
- Enter generator inventory details on work orders to ensure accurate documentation and materials tracking.
- Maintain and update the Kohler lead portal with current customer and lead data.
- Pull monthly expiration reports to identify service contracts due for renewal and initiate customer follow-up.
- Set up new generator customers and enter job requests into the system.
- Coordinate and execute monthly service scheduling: generate reports, send to supervisor for review, create work orders, and distribute finalized orders to technician tablets.
- Submit product registrations and warranties accurately and in a timely manner.
- Respond to customer inquiries regarding billing, service coordination, and payment processing.
- Maintain an open work order report to track job status and support timely completion.
- Generate and distribute monthly reports including fuel and oil usage metrics.
- Process technician timecards and accurately log job-related information.
- Provide customer service backup and assist with incoming phone calls, job requests, and general administrative support as needed.
- Facilitate credit card payments for customers and record charges on work orders via the credit card tracking spreadsheet.
- Leverage ServiceTitan on a daily basis to support service operations.
- Ensure 100% accuracy in time entry, billing documentation, and portal submissions.
- Complete weekly billing by Friday deadlines, with any pending approvals followed up on by Monday.
- Support AR targets by contributing to a 2% or lower outstanding balance, aligned with contract terms and billing schedules.
- Maintain timely service scheduling, accurate reporting, and audit-ready billing documentation.
Required:
- 2–5 years of experience supporting billing in one of the following areas: trade or construction services, power generator services, power systems, or industrial equipment maintenance.
- Strong organizational skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
- High attention to detail and a strong sense of urgency.
- Ability to work independently and collaboratively across departments.
- Strong problem-solving ability and resourcefulness in resolving billing and scheduling issues.
- Customer-focused mindset with proven relationship-building skills.
- Proficiency in Microsoft Office Suite, email, CRM/accounting software, and field service management tools.
- Self-motivated with a positive, team-oriented attitude and high ethical standards.
- Experience using ServiceTitan is not required but is a plus.
- A high school diploma or GED is required; a bachelor’s degree is a plus.

Physical Requirements
