What are the responsibilities and job description for the Shop and Field Service Parts Coordinator position at POWER EQUIPMENT COMPANY?
Job Scope and Background:
Responsible for the daily oversight of the branch service department parts logistics in a manner that meets or exceeds the needs of all internal parts requests for Shop, Field and Certified technicians. The intent of this role is to be a dedicated resource to the Service department operations as it pertains to parts procurement.
Basic Functions, Duties, and Responsibilities:
Perform daily administrative and operational activities in the service department to include but not limited to the following:
- Update Service jobs notes to include notes for parts availability, backorders, or long lead times. Maintain an organized time schedule for updating shipment of back-ordered parts.
- Utilize Manufactures parts tracking systems such as Intellidealer and NPS for parts availability, dealer inventory or other available options for parts resourcing.
- Place orders with manufacturers for factory direct parts orders.
- Ensure accuracy & completeness of all Field, Shop service parts orders received from the service technicians.
- Distribute completed parts orders to the designated Field and Shop service holding locations.
- Process all Field and Shop parts returns and cores for transfer to the parts shipping and receiving department for stocking or return to manufacturer.
- Process all Field and Shop service used Warranty parts.
- Process all Field and Shop service KOWA samples.
- Oversee Field, Shop service “Supplies” inventory.
- Oversee Tool Room operation and tool tracking.
- Maintain an organized, safe and clean work area, and comply with Company procedures, rules and regulations.
- Special projects as assigned by the Parts Manager and or Service Manager.
Qualifications:

- HS Diploma or equivalent required, 2–4-year degree is preferred.
- Must have 5 or more years’ experience in the Heavy Equipment Industry as it relates to parts service coordinating (Komatsu experience preferred).
- Must have excellent written and oral communication skills.
- Proficient with a computer for administrative use including Microsoft programs (Word, Excel, PowerPoint, Intellidealer etc.).
- Must have a good working knowledge of equipment operations and mechanical functions

Organizational Relationships:
This position will report to the Branch Parts Manager. The position will receive direction from and work closely with the branch Parts Manager, Field Service Supervisor and Shop Foremen. Interface relationships will include Service Administration, Service Technicians, Parts Counter personnel, Warehouse Staff, outside vendors and suppliers.
