Responsibilities

• Manage the front desk operations, including multi-line phone systems, greeting clients, and handling customer inquiries with professionalism and courtesy.
• Oversee schedule management for appointments, staff shifts, and project deadlines to optimize workflow and productivity.
• Coordinate vendor management activities, including ordering supplies, processing invoices, and maintaining supplier relationships to ensure timely delivery of materials.
• Handle bookkeeping and accounting tasks using accounting software , including invoicing, expense tracking, and financial record keeping.
• Maintain organized filing systems for client records, service histories, and office documentation to ensure easy retrieval and compliance with confidentiality standards.
• Assist in budgeting activities by monitoring expenses, preparing financial reports, and supporting office management initiatives to improve operational efficiency.

Skills

• Proven experience in office administration within an auto body shop or similar environment with strong clerical skills.
• Excellent communication skills for client interaction, team collaboration, and vendor negotiations.
• Strong organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
• Experience in supervising or team management roles that involve training staff or overseeing daily operations.
• Ability to handle confidential information discreetly while demonstrating professionalism at all times.
