Job Description:
As a Venue Manager at Potomac Point Winery, you will play a vital role in creating memorable experiences for our guests through the seamless execution of events. Your responsibilities encompass a wide range of tasks, from selling our venue to coordinating event logistics & ensuring exceptional customer service. Your passion for hospitality, meticulous organization, sales & catering/banquets expertise, and attention to detail will contribute to the success of our weddings & events.
General Responsibilities:
- Responsible for the coordination of weddings and private events.
- Responsible for the execution of weddings and select private events.
- Ability to conduct site visits, sell weddings & events (creation of proposals & contracts).
- Attends weekly BEO meetings when a coordinated event is within two weeks.
- Responsible for event staff training, and day-of assignments.
- Manages the setup and breakdown of events as Banquet Captain.
- Running the floor and coordinating the food and beverage service by liaising with the kitchen and event staff.
- Monitoring & ordering the inventory of supplies, equipment, alcohol, and furniture.
- Ensure proper cleanliness and storage of all equipment necessary for events and catering.
- Tending to guests' requests, questions, and complaints.
- Ensuring that the venue and facilities remain neat, clean, and properly closed down.
- Complete labor sheets, after action & consumption reports for all private events.
- Established an excellent working relationship with vendors to encourage referrals.
- Represents the winery with the highest level of integrity and professionalism, a service focused approach with caring, sincere attitude at all times.
Working with booked clients in the following ways:
- Maintains and updates client files, calendars, rental orders, follow all procedural checklists.
- Receives, coordinates, and confirms event arrangements with appropriate staff and vendors.
- Acts as main liaison between the clients and the organization.
- Work with clients to update proposals and create detailed Banquet Event Orders (BEO).
- Responsible for scheduling & conducting wedding tastings and coordination meetings with clients.
- Knowledgeable in PPW wines and catering options.
- Responds in a timely manner to client’s questions and concerns.
- Collects and posts event deposits and payments, maintaining current balances and dates of future installments.
Physical Requirements:
- Ability to lift items up to 50 lbs.
- Ability to walk up and down stairs, lifting, bending.
- Ability to work long hours on your feet during events (evenings & weekends).
Education and Experience Requirements:
May require a bachelor’s degree in area of specialty and 3 years of experience in the weddings, events, and catering field. Outstanding customer service and organization skills. Generally positive and personable with a love of hospitality. Love of wine is a bonus!
