What are the responsibilities and job description for the Accounting Clerk position at Porter Scott?
ESSENTIAL FUNCTIONS:
- Help process daily checks for AP Coordinator and handle reimbursement requests.
- Scan and/or file all paid and unpaid invoices and all vendor bills on a daily basis.
- Code and process expense and/or mileage vouchers. Prepare monthly reimbursement checks.
- Enter case charges and mileage vouchers to TABS. File backups for corporate charges. Update cell phone and taxable benefits spreadsheets for Financial Administrator.
- Code and process vouchers for firm credit card expenses. Pay monthly Visa bill via tele-payment. E-mail attorneys for missing vouchers and receipts. Enter case charges to TABS. File backups for corporate charges. Prepare GL summary spreadsheet for Financial Administrator.
- Process and pay all monthly in-house client cost advance invoices, including monthly accounts for Nationwide, Taylor Morse and Array.
- Forward all cost advance invoices to clients to pay that are over threshold limits. Coordinate with Billing Clerk for backup assistance.
- Follow-up and research old unpaid cost advance vendor bills.
- Process and pay all monthly corporate (house) bills.
- Process and pay weekly UPS invoice; quarterly Pacer billings; bi-monthly One Legal billings; and monthly File & Serve Express billing.
- Check final wips to ensure all unpaid costs are on the final statement as per prescribed checklist.
Qualifications:
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- A basic knowledge and understanding of the overall organization of the firm.
- Ability to use mature judgment, work independently and as a part of a team.
- Ability to effectively work under pressure.
- Ability to effectively communicate via telephone, in person or in writing and in a professional manner using tact and discretion.
- Ability to deal with others in a professional manner.
- Ability to operate the TABS Computerized Billing Software and various photocopy and facsimile machines.
- Thorough knowledge of computers and the application of word processing.
- General understanding and performance of proper law office ethics and confidentiality of all client matters and the firm’s relationship with clients (i.e., billing rates, billing cycles), non-public information relating to clients and files as well as the firm’s general business practices.
