Job Description

The Program Coordinator facilitates and manages various processes (client specific) within the contingent worker lifecycle from on boarding through off boarding. The Program Coordinator also provides first level customer support to Hiring Managers and Suppliers.


Responsibilities:

  • Assist Hiring managers, Staffing Specialists and suppliers during all stages of the contract labor acquisition process including but not limited to: interview scheduling, onboarding, worker assignment management, time and expense management and off boarding
  • Document all client reported issues and track resolution through to completion ensuring a high level of customer satisfaction
  • Maintain and update worker assignments to reflect appropriate changes.
  • Provide constant communication to clients, suppliers, contingent workers and other partners via face to face meetings, email and phone
  • Conduct research and analysis to resolve client’s or supplier inquiries as needed
  • Provide program status reports to leadership as required
  • Monitor performance against contract SLA’s (i.e. pending end of assignments, invoicing, time and expense management and vendor compliance tracking)
  • Constant interaction with vendors to ensure new hire paperwork is completed in a timely manner so the contractor can start assignment on time.

  • Visa Letters management – maintain tracker of requests, receive and review inquiries of visa letter requests from suppliers, draft and send to Caterpillar Immigration and Caterpillar managers for approval (managed through DocuSign), and upload completed visa letters via Beeline amendments against worker assignment. [daily task, larger volume of workload especially as visa requests increase in spring and fall. 1-2 visa letters received daily on average during off-season]

  • Workday results tracker refresh –pull in Workday results from TPL inbox and refresh the tracker through TPL Sharepoint site to ensure that the most up-to-day results are maintained [two times daily, 15 minutes each instance]

  • Billing term category audit – audit the billing term category against assignment type in Beeline and issuing amendments if needing to be corrected [weekly task, 15 minutes]

  • State of Washington audit – audit for any net new hires tied to Washington and updating tax on Beeline assignment if applicable. [weekly task, 15 minutes]

  • Beeline professional assignment tenure discount audit – reporting and analysis for tenure discount and set Beeline amendments with collated report to send to PC team. [weekly task]

  • Populus mark-up audits – audit all Populus active workers and assess the pay rates to bill rates to ensure that the standard Populus mark-up (17%) is reflected in Beeline accordingly. If not reflected, partner with Populus to execute as a Beeline amendment [monthly task, 10 minutes]

  • ReqZone & Weekly Ops reports-Monday and Wednesdays, ReqZone report and distributed to the operations team prior to ReqZone. Weekly Ops professional sent on Mondays and Weekly Ops production sent on Wednesdays. All data is extracted from Beeline and placed into respective template and emailed out to the team [Monday-Thursday, 15 minutes each day]

Qualifications:

  • Excellent customer service skills
  • Excellent verbal and written communication skills
  • 0-2 or more years of staffing and/or MSP experience preferred
  • Bachelor’s Degree preferred
  • MS Office/Tools- advanced skills

Projected Budgeted Compensation

External Hourly Base Compensation: $19.23 - $24.04

Bonus eligibility up to $4,000

Cost of Labor Adjustment applicable in specific markets
