Opportunity Overview:

The Construction Project Administration Manager is responsible for building and leading the administrative engine that powers a high-volume retail construction program. This role is tasked with ensuring that every project is backed by a sound legal and financial framework, from the initial execution of Master Service Agreements (MSAs), contracts, financial oversight to recovery of Tenant Allowance (TA) capital. By leveraging advanced tools like Smartsheet’s and Autodesk Construction Cloud, the Manager oversees a team dedicated to eliminating administrative friction, ensuring vendors are paid accurately and on time, and closing out projects with meticulous attention to detail. Beyond daily operations, this leader acts as a strategic problem-solver who collaborates with Finance and Legal to identify downstream roadblocks and implement scalable processes that protect the company’s capital and legal standing.

What You Will Achieve

  • Financial Operations & Vendor Management
    • Oversee the end-to-end accounts payable lifecycle for construction vendors, ensuring all payments are processed within professional net terms to maintain project momentum.
    • Review and audit AIA G702/G703 payment applications against field progress to ensure financial accuracy.
    • Enforce a strict lien waiver collection process (conditional and unconditional) to mitigate title risks and legal claims.
    • Reconcile project budgets in real-time to provide the Finance department with accurate cash-flow forecasting.
  • Legal Oversight & Contract Administration
    • Partner directly with Corporate Legal to draft, review, and execute Master Service Agreements (MSAs) and site-specific Work Orders.
    • Manage the administrative lifecycle of all contracts, ensuring that all insurance certificates (COIs), performance bonds, and licenses are current and compliant.
    • Act as the primary administrative lead for resolving contractual disputes or change order justifications before they escalate.
  • Project Closeout & Tenant Allowance (TA) Recovery
    • Standardize the Project Closeout process to ensure every store achieves 100% documentation completion (as-builts, warranties, O&Ms) within 60 days of opening.
    • Identify lease-specific TA triggers and sunset clauses to prevent capital loss.
    • Lead the team in compiling and submitting professional TA packages to landlords to trigger timely reimbursement of construction costs.
  • Cross-Functional Collaboration & Issue Resolution
    • Proactively collaborate with Finance and Legal to identify and fix downstream roadblocks that delay payments or financial audits.
    • Design and implement process improvements that resolve systemic issues between field construction activities and home-office governance.
  • Systems Leadership & Team Management
    • Architect and maintain Smartsheet’s dashboards/ reports for executive visibility into project health, legal status, payment status, and TA recovery.
    • Optimize the Autodesk Construction Cloud (ACC) environment to ensure field teams provide the data necessary for legal and financial compliance.
    • Supervise and mentor a team of Project Coordinators, establishing professional SOPs for the entire department.

What You Will Need

  • 4–7 years in construction or retail project administration, preferably in tenant improvement or rollout programs.
  • Direct experience managing subcontractor/vendor payments, lien waivers, and pay applications.
  • Hands-on with contract execution workflows — MSAs, project-specific agreements, change orders, and work authorizations.
  • Bachelor’s degree in construction management, Business Administration, Real Estate, or Legal, Finance or related field

Physical Requirements

  • Must be able to remain in a stationary position (e.g., seated or at a desk) for extended periods while operating a computer or other office equipment
  • Must be able to occasionally lift or move items weighing up to 25 pounds
