Systems Training Director

The Systems Training Director at Pomona College is responsible for training employees on Finance systems, updating training materials, and managing system testing to ensure smooth operations. This role collaborates closely with Human Resources and Finance Operations to keep staff informed and proficient in Workday and related financial tools.

• Training responsibilities: The position involves training new employees and providing refresher courses on Workday modules, including Time Tracking, Payroll, Supplier Invoices, Customer Invoices, Expense Reports, and Adaptive Planning, delivered in person or via Zoom.
• System testing and updates: The Systems Training Director runs biannual regression testing for Workday, updates testing scenarios, prepares testing report lists, and revises job aids and training videos.
• Training program development: The position includes developing quarterly training sessions like ‘Lunch ‘n Learns,’ programs for staff and faculty, and create an maintain an online training program with videos and assessments to ensure user comprehension.
• Qualifications and skills: Candidates must hold a bachelor’s degree in a relevant field or equivalent experience, hold certifications such as CPTM™ or CID/CDD, and possess at least 5 years of training experience, preferably in academia. Essential skills include proficiency in Workday modules, strong communication, organizational abilities, and a commitment to the college’s mission.

The perfect candidate would:

• Have experience in the higher education space
• Be a Workday Pro in HCM and Financials
• Have certifications such as CPTM™ or CID/CDD, and be comfortable training a wide variety of individuals in person and via Zoom
• Be technically proficient in video editing software and be able to create easy-to-follow job aids

Responsibilities

Reporting directly to the Director of Finance/Chief Accountant, the Assistant Controller – Systems Training performs the following essential duties and responsibilities:

1. Partner with the Assistant Controller of Finance Operations and Human Resources to reach out to all new employees and train them on the following Workday tasks/modules, either in person or via Zoom - Time Tracking, Payroll – Payslips/Direct Deposit/W-2’s/Tax Elections, Suppliers, Customers, Expenses, Viewing reports, Navigation, Adaptive Planning, and other as may be needed
2. Run the bi-annual regression testing for Pomona College as follows: Review the ‘What’s New Report’ and update the Finance testing scenarios for automatically available functionality and email to testers, prepare the list of reports to be tested by report owners/designated testers and email to report testers, update job aides on Workday Resources, including training videos.
3. Create Workday training videos for the most used tasks
4. Develop and run quarterly ‘Lunch ‘n Learns’ or other training programs with administrators/coordinators to assist users in new functionality and pain points
5. Develop programs to provide refresher training for staff and faculty
6. Work with the Dean’s office to assist academic departments and chairs in the use of Workday.
7. Develop and maintain an online training program that consists of video trainings that include questions/tests to ensure user understanding of the materials
8. Coordinate special projects/tasks and provide guidance and/or assistance as assigned

Qualifications

Education: Bachelor’s degree in the areas of Instructional Design/Educational Technology, Human Resources Management, business administration, or related field is required, or equivalent combination of education and experience.  

Licenses/Certificates: Certified Professional in Training Management (CPTM™), Certified Instructional Designer/Developer (CID/CDD), Certified eLearning Specialist (CeLS), or a similar certification is required.

Experience:  A minimum of 5 years of training experience. 3 years of experience at an academic institution is preferred.

1. Working knowledge of Workday modules and business processes, specifically Expenses, Suppliers, Time Tracking, Payroll, Customers, and others as needed
2. Deploy professional skills in training and education, in collaboration with colleagues, to best promote the College’s strategic interests.
3. Must have exceptional active listening skills with a strong customer service orientation to find solutions to complex problems, answer unconventional questions, and take firm action when necessary.
4. 5. Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook), associated professional software (such as Workday, Internet research, menu-driven databases). Demonstrated understanding of the use of technology in assessing and improving department systems and processes to achieve annual goals and maintain confidentiality.
6. Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College’s strategic vision and the division’s annual goals with a high standard of integrity and ethics.
7. Must have exceptional organizational, time management, and quantitative analytical skills to complete work with accuracy and attention to detail.
8. Must understand the mission of the College’s liberal arts environment.
