TRANSPORTATION COORDINATOR
POSITION SUMMARY:
The Transportation Coordinator provides business critical insight to Polyglass USA Inc. by ensure that all incoming and outgoing deliveries are made in an efficient manner. The Transportation Coordinator will maintain delivery schedules and tracking deliveries, as well as provide tracking information to customers and internal departments as needed. A successful individual will be able to research and negotiate delivery costs to develop more cost-effective shipping methods. Qualified applicants will demonstrate the ability to be detail orientated and have good customer relation skills.
REPORTING TO:
Position reports to Transportation Supervisor and provides an interface with the Customer Service, Shipping, Operations, R&D, Product Management, Production, Customers, Trucking Companies, Carriers, Private Fleet and other departments as required. This position also involves very close liaison with Production Planning, Operations and Procurement and the entire supply chain organization.
POSITION RESPONSIBILITIES:
Determine the most effective mode and routing of materials into customer locations and company facilities using internal Transportation Module.
Managing and maintaining all department and regulatory compliance related documentation.
Understands unique territory geography to determine the most efficient routing between Polyglass USA Inc. facilities, external vendors, and customer locations.
Works closely with our Customer Service, Plants Shipping Department, Corporate Team and other stakeholders to continuously improve the performance of our Transportation Management operation.
Update and review shipping schedule daily and identify any missing orders, inefficient routes, special delivery needs, temporary road closures, local events, etc.
Generate shipping documents that go along with products via private fleet, FTL, LTLs or other services.
Responsible for maintaining proper and accurate pre-shipment and post-shipment administration including track and trace, proof of delivery, damaged shipment issues and claims processing.
Provides assistance in the planning, research and development, and implementation of department policies and procedures.
Coordinates special projects to accomplish department objectives and other tasks requested by the department manager.
Collects, analyses and reports statistical data regarding the operation of the department; makes planning recommendations based upon statistical reporting.
Maintains current knowledge of transportation market statistics.
Evaluates, records, and responds to additional/ special service requests (i.e. FTL, LTL, liftgate, inside delivery, etc).
Assists in troubleshooting and resolving safety, service, and operational issues.
Meet on time delivery requirements and follow up on discrepancies with suppliers and Customer Service.
Negotiate spot rate pricing with different carrier types on expedited shipments to minimize cost and meet delivery requirements.
Communicate effectively with carriers and customer service representatives, handling questions, concerns and complaints with a professionalism that includes a commitment to more efficiently meet customer needs.
Manage daily, weekly and monthly reports as well as prepare ad-hoc reports requested by management.
Work with transportation providers and accounting department on freight payments to ensure proper accessorial cost and flows.
Develop and maintain relationships with carriers.
Stay up to date on administrative tasks such as entering freight receipts, data entry, scanning and filing.
Accurate data entry.
Daily, weekly, monthly, and/or quarterly customer reports, as required.
Detail-oriented with data-entry and accuracy.
Ability to perform under pressure and deadlines, in a fast paced, high energy environment.
Ability to communicate with all levels and functional areas of the organization: Operations, Sales, Customer Service, Corporate.
Strong attention to detail, specifically the ability to manage a variety of information, routes and paperwork including emails and system reports.
Ability to work in a team environment, strong customer service and communication skills (written and oral).

REQUIRED QUALIFICATIONS:
Microsoft office experience required.
5 years of experience as a transportation coordinator at a manufacturing plant or similar job duties.
High School Diploma (minimum) with work related experience will be considered.
Prior experience with or ability to learn job specific technology; including AS400 or new technologies.
PREFERRED QUALIFICATIONS:
Excel - (intermediate to advanced preferred)
Degree in transportation or a related field preferred.
WORK ENVIRONMENT:
The Transportation Coordinator will be primarily located at the Winter Haven, FL plant, remote, or at any other plant as required and will support the Transportation Department areas for Polyglass USA, Inc.
Work environment varies from an office setting to periodic exposure to the typical elements in the manufacturing facilities (i.e. dust, moderate noise, close proximity to semi-automated manufacturing equipment, and hot and cold climates.)
Must be able to work around hot asphalt tanks, lines and pumps on an intermittent basis.
Self-motivated in a rapid changing environment at times.
Exerting up to 35 pounds of force occasionally and/or negligible amount of force frequently or otherwise move office materials, files, etc.
Ability to climb stairs often and ladders periodically.
Visual Acuity (including color perception).
