What are the responsibilities and job description for the Golden Age Manor Office Manager position at Polk County (WI)?
Under general supervision of the Golden Age Manor Administrator, the Business Office Manager is responsible for the overall operation of the business office and ensuring the department team is functioning as a cohesive unit. Responsibilities include development and implementation of efficient and effective policies and procedures in the areas of fiscal and accounting, payroll, training, human resources activities, marketing and public relations, as well as supervision of the business office and support staff.These duties represent the typical duties and responsibilities assigned to this position but may not be inclusive of all tasks performed.
Education/Experience:
Required:
- Processes invoices for Accounts Payable activity and ensures certificates of insurance, W9s and contracts are up to date.
- Prepares facility monthly financial reports and facility annual budget. Completes monthly journal entries as needed. Coordinates these functions as needed with the County finance and administration offices.
- Oversees workers compensation and injury reporting activity. Coordinates these functions as needed with the County Human Resources office.
- Oversees timekeeping and payroll processing and maintains accurate records related to these functions.
- Oversees facility resident trust account, bank deposit and accounts receivable activity including collections and bad debt processing.
- Responsible for maintaining facility record of fixed assets.
- Coordinates and prepares for facility annual financial audit, Medicare cost report and Medicaid Cost report.
- Orders supplies for office and other departments of facility as needed.
- Serves as liaison with the County information technology office for facility technology needs and issues.
- Supports all GAM departments with creation and maintenance of reports and spreadsheets as needed.
- Assists in the development, administration and enforcement of facility policies and procedures.
- Maintains professional relationship with all facility staff and residents through regular daily interactions.
Education/Experience:
Required:
- Associates Degree and three (3) or more years experience in accounting or substantially related field or an equivalent combination of education and experience; or
- Bachelors degree in accounting or a substantially related field preferred, required with less than three (3) years experience.
- Supervisory experience strongly preferred with advanced knowledge of general office procedures and practices including working directly with spreadsheet, word processing, and ten-key applications.
- Knowledge of and/or experience working directly with Medicare, Medicaid, PPS, and consolidated billing systems.
- Knowledge of generally accepted accounting principles and direct experience working with accounting software in a business environment.
- Nursing Home experience preferred.
