Position Title: Program Coordinator
Department: Adult's with Intellectual Disabilities Day Program
Reports To: Assistant Director of Day Program & Program Director of Programs

Position Summary
The Program Coordinator is responsible for the daily oversight, coordination, and quality assurance of services provided within the adult day program. This role ensures that programming, staffing, documentation, and participant support are delivered in accordance with Person Centered Plan (PCP), organizational policies, and applicable state and regulatory requirements. The Program Coordinator serves as a key liaison between participants, staff, families, and leadership, while modeling professionalism, accountability, and person-centered care.
Essential Duties and Responsibilities
Participant Services & Program Oversight
- Ensure participants receive services consistent with their individualized service plans, goals, and assessed needs
- Monitor participant engagement, behavior, and overall well-being
- Implement and reinforce approved behavioral support strategies
- Ensure services are delivered in a person-centered, respectful, and dignified manner
- Oversee daily activities, therapeutic programming, vocational supports, and community outings
Daily Operations & Supervision
- Oversee daily program operations and ensure smooth workflow
- Assign staff based on participant needs, staffing ratios, and program demands
- Conduct daily walk-throughs to ensure safety, cleanliness, and readiness of program spaces
- Address operational issues in real time to maintain continuity of services
- Provide coverage during staffing shortages as needed
Staff Supervision & Leadership
- Supervise and support Direct Support Professionals (DSPs) and program staff
- Provide coaching, guidance, and on-the-job training
- Monitor staff performance, attendance, and adherence to policies
- Address performance concerns through corrective action when appropriate
- Promote teamwork, accountability, and a positive work environment
Documentation & Compliance
- Ensure all documentation is completed accurately, timely, and in compliance with regulatory standards
- Review and submit incident reports, progress notes, attendance records, and outing documentation
- Maintain organized program records and participant files
- Assist with audits, monitoring visits, and corrective action plans
- Ensure staff documentation meets organizational and funder requirements
Health, Safety & Risk Management
- Ensure participant and staff safety at all times
- Respond appropriately to incidents, accidents, or medical concerns
- Enforce emergency procedures and safety protocols
- Monitor supervision levels and environmental safety
- Support medication administration and health-related protocols as applicable
Communication & Collaboration
- Communicate effectively with families, residential providers, case managers, and internal departments
- Provide regular updates to leadership regarding program needs, concerns, or incidents
- Serve as a point of contact for day-to-day program operations
Administrative & Organizational Responsibilities
- Assist with scheduling and staffing coordination
- Support onboarding and orientation of new staff
- Assist with planning special events, workshops, and themed programming
- Maintain confidentiality and professionalism at all times.
Leadership & Program Development
- Model ethical behavior and professional standards
- Support continuous quality improvement initiatives
- Identify opportunities for program enhancement and efficiency
- Uphold organizational mission, values, and policies
Qualifications
Education
- High school diploma or equivalent required
- Associate’s or Bachelor’s degree in Human Services, Social Work, Psychology, or related field preferred
Experience
- Minimum of 2 years of experience working with adults with intellectual/developmental disabilities, brain injury, or similar populations
- Prior supervisory or leadership experience preferred
Knowledge, Skills, and Abilities
- Strong understanding of person-centered practices
- Knowledge of regulatory and compliance requirements for adult day services
- Excellent organizational, communication, and time-management skills
- Ability to manage multiple priorities in a fast-paced environment
- Effective problem-solving and conflict-resolution skills
- Proficiency in documentation systems and basic computer applications
Physical & Work Requirements
- Ability to stand, walk, bend, and assist participants as needed
- Ability to respond quickly in emergency situations
- Ability to lift up to 50 pounds with or without accommodation
- Must be able to work a flexible schedule as program needs require
Additional Requirements
- Valid driver’s license and acceptable driving record (if applicable)
- Ability to pass background checks, clearances, and required training
- CPR/First Aid certification (or ability to obtain within required timeframe)
