Duties
- Greet patients warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Maintain a clean and organized front desk area, including filing, data entry, and document proofreading
- Schedule patient appointments using Cerner/Oracle software
- Handle incoming and outgoing mail, packages, and deliveries with accuracy and timeliness
- Assist with clerical duties including typing reports, maintaining records, and supporting administrative projects as needed
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with multi-line phone systems and professional phone etiquette
- Strong customer service orientation with the ability to handle inquiries courteously and efficiently
- Attention to detail for proofreading documents and managing accurate records
- Ability to prioritize tasks effectively using time management techniques
- Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued
- Knowledge of electronic medical records software
- Demonstrated ability to support office functions through clerical tasks like filing, calendar management, and proofing documents
