What are the responsibilities and job description for the Payroll Coordinator position at PMV Corporations?
PMV Corporations is seeking a detail-oriented, dependable Payroll Coordinator to oversee the
weekly review, verification, and submission of employee hours for payroll processing.
Our employees work across multiple construction jobsites. This position requires someone who
can maintain an accurate overview of employee assignments, hours worked, travel between sites,
and applicable per diem. You must be able to recognize when information appears incomplete or
inconsistent and take initiative to resolve it.
What You’ll Do
Review Weekly Time Reports
Review uAttend’s weekly Batch Report for accuracy and completeness. Check employee punches, daily and weekly totals, jobsite assignments, and other information needed to prepare payroll.
Identify and Investigate Discrepancies
Look for missing punches, unexpected gaps, inconsistent hours, duplicate entries, and other discrepancies requiring follow-up.
For example, if an employee has recorded hours on Monday, Tuesday, and Thursday but no
hours on Wednesday, you will investigate whether the employee was absent, missed a punch,
experienced a system issue, or worked at another location.
Contact employees directly to verify their hours and document proposed corrections. This role
requires foresight, persistence, and sound judgment—not simply transferring numbers between
systems.
Obtain Foreman Verification
After reviewing discrepancies with employees, email each respective foreman a clear summary
of the proposed corrections. Request confirmation or denial, resolve conflicting information, and
track outstanding responses until the necessary verification and approval are complete.
Prepare and Submit Payroll
Enter verified and approved information into Paychex for payroll processing. Ensure employee
hours and applicable payroll items are entered accurately and submitted within company
deadlines.
Maintain organized records of corrections, employee communications, foreman confirmations,
and approvals.
Track Jobsite and Travel Information
Maintain an accurate weekly overview of where employees worked, including transfers between
jobsites, applicable travel time, and per diem information. Coordinate with the appropriate
company personnel to resolve unclear assignments or missing details.
Support Employees and Administration
• Respond to employee questions about missing hours, timekeeping issues, and payroll
discrepancies.
• Investigate reported problems and coordinate approved corrections.
• Assist the Administration Director with invoicing and billing, including reviewing
supporting hour reports and jobsite information.
• Communicate unresolved issues promptly so payroll and billing deadlines can be met.
What We’re Looking For
• Strong attention to detail and comfort reviewing reports and numerical information.
• Ability to recognize inconsistencies and investigate them thoroughly.
• Clear, professional communication by phone and email.
• Strong organization and reliable follow-through.
• Ability to manage recurring deadlines and multiple outstanding verification requests.
• Discretion when handling employee and payroll information.
• Comfort using spreadsheets, email, and payroll or timekeeping software.
• Previous payroll, timekeeping, administrative, or construction office experience
preferred.
• Experience with uAttend and Paychex is a plus.
Schedule and Hybrid Work Requirements
This is a full-time hybrid position requiring 40 hours per week, with a minimum of 2½ days
per week worked in the office. The remaining scheduled hours may be worked remotely, with
the office and remote schedule coordinated with management.
You must be reachable and responsive throughout your scheduled working hours, whether in the
office or working remotely, to communicate with employees, foremen, and management,
troubleshoot timekeeping issues, and complete the weekly payroll workflow.
Why This Role Matters
Accurate payroll begins with accurate information. Your work will help ensure employees are
paid correctly, jobsite records remain dependable, and PMV’s payroll and billing processes run
smoothly.
