Job Overview
PM Sales, Inc. is a well-established supplier with over 35 years of service to customers across North America. We are seeking a dependable and detail-oriented Office Administrator to support daily business operations. This position plays an essential role in internal operations, financial processing, customer communication, and general office management.

Key ResponsibilitiesFinancial & Administrative Support

  • Create, manage, and process invoices accurately (QuickBooks experience required)
  • Record, track, and organize financial transactions
  • Maintain customer account information and assist with billing questions
  • Prepare and update spreadsheet-based reports (inventory, sales, purchasing, etc.)
  • Assist with basic financial reporting and reconciliation tasks

Customer Service & Order Processing

  • Answer and route incoming phone calls in a professional manner
  • Take customer orders, confirm details, and accurately enter order information
  • Communicate with customers regarding order status, shipping updates, and general inquiries

Data & Inventory Coordination

  • Enter data into internal systems with accuracy and consistency
  • Maintain and update inventory records
  • Monitor stock levels and coordinate with warehouse/production teams as needed
  • Assist with organizing incoming and outgoing shipments

General Office Support

  • Assist with filing, document organization, and routine office duties
  • Support management and team members with administrative tasks
  • Help maintain a clean and organized office environment

Required Qualifications

  • QuickBooks experience (required)
  • Spreadsheet proficiency (Excel and/or Google Sheets required)
  • Financial or bookkeeping experience (required)
  • Strong data-entry skills with high accuracy and attention to detail
  • Excellent written and verbal communication skills
  • Strong organizational skills and ability to manage multiple tasks

Pay: $20.00 - $25.00 per hour

Expected hours: 40 per week
