Job Summary
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression of the organization
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
  • Support office management tasks including calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
  • Assist with clerical duties such as copying, scanning, faxing, and managing office supplies inventory
  • Provide customer support by addressing questions or concerns efficiently and courteously
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to complete daily tasks effectively
  • Support personal assistant functions when needed, including time management and scheduling for staff or executives

Requirements

  • Proven office experience with strong clerical skills in a fast-paced environment
  • Excellent organizational skills with keen attention to detail in proofreading and data entry
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and phone etiquette standards
  • Ability to operate office equipment such as fax machines, scanners, and printers efficiently
  • Bilingual abilities are highly desirable to support diverse client interactions
  • Strong customer service orientation with excellent communication skills both written and verbal
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Demonstrated ability to manage time effectively while handling multiple priorities simultaneously
  • Personal assistant or medical/dental receptionist experience is a plus but not required
