The Inventory Control Coordinator plays a key administrative and analytical role within the Retail Department, ensuring the accuracy, integrity, and effective management of inventory across the Museum’s retail shops, stockroom, and mail order/internet sales operations.
This position supports the business operations of the Museum by managing inventory control systems, analyzing inventory data, identifying discrepancies and trends, and collaborating with internal teams and vendors to ensure appropriate inventory levels and operational efficiency. The role requires independent judgment, and strong attention to detail.
Key Responsibilities:
Inventory Management & Analysis
- Maintain accurate inventory records across multiple retail locations and stockroom operations.
- Conduct cycle counts and assist in planning and executing annual physical inventories.
- Analyze inventory data to identify discrepancies, trends, and potential risks; recommend corrective actions.
- Generate and interpret inventory reports to support purchasing and operational decisions.
Business Operations & Coordination
- Reconcile inventory across purchasing, receiving, point-of-sale systems, and accounting records.
- Verify received merchandise against purchase orders and resolve overages, shortages, damages, and pricing discrepancies.
- Coordinate inventory transfers between retail locations as needed.
- Prepare return-to-vendor documentation and support inventory-related audits.
Vendor & Systems Support
- Maintain effective working relationships with vendors; assist in resolving shipment, invoice, and credit issues.
- Review purchase orders and invoices for accuracy prior to submission to Accounts Payable.
- Work with IT and external partners to troubleshoot inventory and retail system issues (RPRO experience a plus).
General & Customer Experience
- Communicate proactively with Buyers and Retail leadership regarding inventory availability, cost discrepancies, and pricing changes.
- Maintain organized inventory documentation and records.
- Provide a friendly, professional presence for guests and coworkers throughout the Museum.
Qualifications:
Required
- High School Diploma or equivalent.
- 3–5 years of retail experience, preferably in inventory control or inventory analysis.
- Strong analytical and organizational skills with excellent attention to detail.
- Proficiency with Microsoft Excel and inventory or retail management systems.
- Ability to manage multiple priorities independently in a fast-paced environment.
- Strong written and verbal communication skills.
Preferred
- Bachelor’s degree.
- Experience with RPRO or similar retail point-of-sale and inventory systems.
- Prior experience supporting multi-location retail operations.
Work Environment & Schedule:
- Office-based with regular interaction in retail shop and stockroom environments.
- Primarily weekday schedule; occasional evenings, weekends, and holidays required.

Pay: $45,000.00 per year
