We are seeking a dynamic and organized Business Office Manager to lead the administrative operations within a long-term care facility. Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for administrative staff and leadership.
- Manage vendor relationships, including negotiating contracts, processing invoices, and ensuring timely deliveries of supplies and services.
- Supervise administrative staff, providing training and development opportunities to promote team growth and high performance.
- Handle bookkeeping tasks such as payroll processing, budgeting, expense tracking, and maintaining accurate financial records using QuickBooks or similar software.
- Coordinate event planning for staff meetings, resident activities, community outreach events, and training sessions to foster engagement and community involvement.
- Maintain organized filing systems for medical records, administrative documents, licensing compliance materials, and personnel files.
- Support human resources functions by assisting with hiring processes, onboarding new employees, managing employee records, and ensuring adherence to policies.
Requirements
- Proven supervisory experience in an office or healthcare setting with strong leadership skills.
- Proficiency in QuickBooks for bookkeeping and payroll management.
- Excellent organizational skills with the ability to manage schedules effectively across multiple priorities.
- Experience in vendor management, contract negotiations, and budget oversight within a healthcare or medical office environment.
- Strong communication skills—both verbal and written—to interact professionally with staff, residents, families, vendors, and regulatory agencies.
- Knowledge of medical office management practices including filing systems and front desk operations.
- Familiarity with human resources procedures such as hiring practices, employee training & development, and compliance standards.
- Ability to handle clerical tasks efficiently while maintaining attention to detail in an active office setting.
