About the Position
PLDR Law seeks a detail-oriented and experienced Billing and Finance Specialist to join our administrative team. This role is ideal for someone who thrives in a deadline-driven environment and is comfortable handling sensitive information with professionalism and accuracy.
The Billing and Finance Specialist will be involved in many of the Firm’s foundational operations, including client billing, bookkeeping, and financial reporting.
Key Responsibilities
- Prepare, review, and process monthly attorney billing in accordance with client guidelines and firm policies
- Ensure accurate time entry, expense posting, and matter management
- Generate pre-bills and coordinate with attorneys to finalize invoices
- Submit invoices through various e-billing platforms (e.g., LEDES, Legal Tracker, CounselLink)
- Monitor accounts receivable, follow up on outstanding payments, and assist with collections
- Research and resolve billing discrepancies in collaboration with attorneys and clients
- Maintain organized billing records and update financial systems as needed
- Assist with budgeting, financial reporting, and audit requests
- Process accounts payable
- Provide general support to the business office as required
Qualifications
- 2–4 years of billing experience, preferably in a law firm or professional services environment
- Familiarity with legal billing software (e.g., Tabs3, Clio, Aderant, Elite, MyCase) a plus
- Working knowledge of e-billing platforms and LEDES formats
- Strong proficiency in Microsoft Excel and general financial software
- Excellent attention to detail and accuracy
- Strong communication skills and ability to work with multiple stakeholders
- Ability to manage deadlines and handle confidential information responsibly
- Knowledge of office management systems and procedures
- Ability to maintain accurate time records
- Excellent time management skills and the ability to prioritize work
- Attention to detail
- Ability to communicate in person, via email, and telephone to provide information with professional courtesy and friendliness
- Strong organizational skills
- High emotional intelligence
- Willingness to learn and expand knowledge and skills
- Ability to lift 25 lbs
- Access to a vehicle and willingness to drive to complete firm-related tasks
- Ability to structure and process qualitative and quantitative data to draw insights
