DEPARTMENT: FLIGHT OPERATIONS

REPORTS TO: DIRECTOR OF FLIGHT OPERATIONS

CLASSIFICATION: EXEMPT


Job Summary: 

The Administrative Coordinator I provides entry-level administrative and workplace support to help ensure daily office and site operations run smoothly and efficiently. This role is responsible for coordinating routine services, maintaining shared spaces and supplies, tracking receipts and basic purchasing documentation, and handling simple day-to-day administrative tasks that support the broader team.

 
 This position works closely with employees, vendors, and service providers to support an organized, functional, and well-maintained work environment. 


Duties/Responsibilities:

  • Support day-to-day administrative and site coordination activities to help maintain efficient workplace operations.
  • Coordinate routine needs related to shared spaces, snack rooms, office supplies, and other common-use materials.
  • Monitor inventory levels for office, kitchen, and general site supplies and facilitate timely replenishment.
  • Coordinate with cleaning personnel and other service providers to help ensure workspaces are maintained in an orderly and professional manner.
  • Collect, organize, and maintain receipts and other supporting documentation for routine purchases and site-related expenses.
  • Assist with basic purchasing coordination, order tracking, and follow-up on routine supply or service requests.
  • Serve as a point of contact for internal requests related to supplies, shared spaces, and general administrative support.
  • Support basic meeting, office, and site readiness activities, including preparation of shared spaces and materials.
  • Maintain logs, trackers, and administrative records with accuracy and attention to detail.
  • Escalate non-routine issues, vendor concerns, or facility-related matters to the appropriate point of contact.
  • Perform other duties as necessary and/or required.


BASIC REQUIREMENTS:

  • High school diploma or equivalent required.
  • 0-2 years of experience in administrative support, office coordination, workplace support, or a related role.
  • Ability to obtain and maintain a security clearance. 
  • Strong organizational skills and ability to manage multiple routine tasks effectively.
  • Good written and verbal communication skills.
  • Ability to work independently on assigned tasks while coordinating effectively with others.
  • Basic proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Strong attention to detail and ability to maintain accurate records and documentation.
  • Customer-service mindset with a willingness to support employees and routine operational needs.

PREFERRED QUALIFICATIONS:

  • Prior experience supporting office operations, facilities coordination, or administrative tasks in a professional environment.
  • Experience with receipt tracking, supply ordering, or vendor coordination.
  • Familiarity with maintaining shared office spaces and supporting general workplace needs.


PHYSICAL REQUIREMENTS: 

  • Ability to move throughout office and site spaces regularly.
  • Ability to lift and/or move supplies, packages, or materials up to 25 pounds.
  • Ability to remain stationary for extended periods while performing administrative tasks.
  • Ability to occasionally bend, reach, and carry materials in support of daily workplace needs  

The hourly range for this position is $15.00 to $21.00. Actual compensation will be based on a variety of factors, including but not limited to the candidate’s relevant experience, education and training, job-related knowledge and skills, the scope and level of responsibility of the position, internal equity, and market/business considerations. The listed range is a general guideline and may vary based on the selected candidate’s qualifications and work location, where applicable.
