Proposal Specialist

Are you detail-oriented, organized, and excited to play a key role in keeping our operations running smoothly? Planterra Corporation is looking for an enthusiastic estimator to join our team!

In this role, you'll be working directly between sales and operations making proposals and ensuring our plants, containers, and supplies are always accounted for and ready to go. You'll also be a power user of Aspire, our workflow management software, using it daily to create proposals, manage work tickets, and keep job records accurate.

Key Responsibilities

Proposal Management

• Create installation proposals in Aspire, checking for accuracy and ensuring proposals are turned around in a timely manner
• Own the proposal creation process; collaborate with sales team, understanding the nuances of each project and verify proposal request sheets contain key information
• Manage all work tickets in Aspire, following for work ticket processing as part of the end-of-month routine
• Conduct regular audits of completed jobs in Aspire, ensuring tickets are cleaned up as part of the end-of-month routine
• Meet weekly with manager to report on proposal pipeline status
• Maintain and update various spreadsheets
• Act as backup for purchasing from vendors
• Print, scan and email documents

What We're Looking For

• Strong organizational skills with a sharp eye for detail
• Comfort with or eagerness to learn Aspire workflow software — you'll use it every day!
• Prior experience in workflow or similar estimating software is required
• Excellent communication skills for cross-department collaboration
• Ability to manage multiple priorities and meet deadlines
• Proficiency with spreadsheets and basic computer skills
