Job Summary
As a Construction Administrative Assistant, you will play a head role in ensuring the smooth operation of our office environment. You’ll be one of the first points of contact for clients and visitors, managing front desk duties and providing exceptional customer service. Your organizational skills will shine as you handle various administrative tasks, from data entry to calendar management, all while supporting our team’s daily activities. What you’ll do

  • Greet visitors and manage front desk operations with a warm and welcoming demeanor
  • Answer and direct incoming calls, demonstrating excellent phone etiquette
  • Maintain organized filing systems and assist with data entry to ensure accurate record-keeping
  • Manage calendars, schedule appointments, and coordinate meetings for team members
  • Provide administrative support including proofreading documents, preparing reports, and managing correspondence
  • Utilize QuickBooks for bookkeeping tasks and assist with financial record management
  • Offer customer support by addressing inquiries and resolving issues promptly
  • Collaborate with team members to enhance office management processes and improve efficiency
  • Be available to company owner via phone call and text during the work week and weekend

Basic qualifications

  • Proven experience as a construction office administrative assistant or similar position
  • Must have a strong computer literacy with proficiency in QuickBooks and Excel

Preferred qualifications

  • Previous experience managing an HVAC or construction company is a plus
  • Familiarity with office management practices and clerical duties
