What You'll Do
The School Secretary is the heartbeat of our school office. You are often the first person a family meets when they walk through our doors, the first voice a parent hears when they call, and a steady, reassuring presence for students navigating their school day. In this role, professionalism and warmth go hand in hand.
Front Office & Community Relations
- Greet students, families, staff, and visitors with genuine warmth and professionalism, creating a welcoming environment that reflects our school's values
- Serve as the primary point of contact for incoming calls and emails, responding promptly and directing inquiries to the appropriate staff members
- Manage visitor check-in procedures, ensuring school safety protocols are followed at all times
- Assist families in navigating school processes — enrollment, attendance questions, records requests — with patience and clarity
- Serve as a calm, helpful presence during high-volume or emotionally sensitive interactions with students and families
Administrative Operations
- Manage daily attendance records, follow up on student absences, and communicate with families as needed
- Maintain accurate and organized student records in PowerSchool, including enrollment data, demographics, and documentation
- Prepare correspondence, memos, and communications on behalf of school leadership
- Support scheduling, meeting coordination, and calendar management for administrative staff
- Process incoming and outgoing mail, manage office supply inventory, and coordinate with vendors as needed
- Assist with printing, copying, and distribution of school-wide materials and communications
Student & Staff Support
- Provide day-to-day support to students who visit the office — whether they need to reach a parent, are feeling unwell, or need direction — treating each interaction with care and dignity
- Assist teachers and staff with administrative requests, helping reduce the logistical load so they can focus on instruction
- Support the coordination of school events, field trips, and activities as needed
- Assist with data entry and reporting tasks that support school-wide initiatives, including MTSS documentation and compliance records

Requirements
- Prior experience as a secretary or office/administrative assistant preferred
- Knowledge of office management systems and procedures
- Proficiency in Microsoft Office Suite; experience with standard office equipment
- Excellent time management and organizational skills
- Strong written and verbal communication skills
- Professional telephone manner and interpersonal skills
- Excellent typing skills
- PowerSchool experience preferred
