We are seeking an Admin Assistant & Receptionist to serve as the welcoming face and first point of contact for our growing team. In this role, you will provide exceptional customer service, support daily office operations, and ensure a warm, professional, and efficient experience for every client and visitor.
Primary Duties
Client & Visitor Experience
- Greet clients and visitors warmly, ensuring a polished and professional first impression.
- Manage the front desk environment, maintaining a clean, organized, and inviting reception area.
- Answer and direct incoming calls and emails with courtesy and accuracy.
- Assist clients with general inquiries, appointment confirmations, and basic service requests.
- Provide hospitality support (beverages, meeting room setup, visitor check‑in).
Administrative & Office Support
- Schedule and coordinate meetings, including reminders and calendar updates.
- Handle incoming and outgoing mail, packages, and courier services.
- Maintain office supplies, inventory, and vendor relationships.
- Assist with preparing documents, forms, and correspondence as needed.
- Support team members with administrative tasks and special projects.
Operational Support
- Help gather and input client information into internal systems.
- Ensure adherence to company policies, procedures, and compliance standards.
- Assist with scanning, filing, and maintaining confidential records.
