Job Title: Accounts Receivable / Accounts Payable (AR/AP) Specialist

We are a trusted refrigeration service company specializing in sales, installation, maintenance, and repair of commercial refrigeration and appliances for restaurants, grocery stores, and industrial applications. As we continue to grow, we are looking for a committed & dependable, detail-oriented AR/AP Specialist to support our financial operations and accounting proficiency.
Key Responsibilities:
- Process vendor invoices for parts, equipment, and service-related expenses
- Manage accounts payable, ensuring timely and accurate payments to suppliers and subcontractors
- Generate/Process customer invoices for service calls, maintenance contracts, and installations
- Coordinate purchase order management with purchasing department
- Track accounts receivable and follow up on outstanding balances
- Reconcile vendor statements and resolve billing discrepancies
- Work closely with service managers to verify job costs and billing details
- Maintain organized financial records and documentation
- Assist with month-end closing and reporting
- Additional duties and task as assigned
Qualifications:
- 7 years of AR/AP or general accounting experience
- Experience in service-based, construction, or HVAC/Refrigeration industry preferred
- Familiarity with job costing and service invoicing is a plus
- Strong attention to detail and ability to manage multiple priorities essential
- Absolute Proficiency in accounting software and Microsoft Excel required
- Excellent communication and organizational skills
Preferred Qualifications:
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- Experience with QuickBooks Enterprise Required (3 Years Minimum)
- Committed to excellence and complete accuracy
- A team player who works well with others
- A proficient verbal and written communicator
- Excellent analysis skills combined with attention to detail for accurate account analysis and reconciliation tasks.
- Proficiency in data entry (10 key typing) 55 wpm minimum and technical accounting practices including double entry bookkeeping.
- Mastery of Microsoft Office Platforms and Efficiencies
- Records management and filing
- Strong negotiation skills coupled with effective communication abilities to manage customer relationships professionally.
