Contract Period: Full-year position, 40 hours/week, non-exempt

Supervisor: Director of Library and Media Services

Qualifications: Under the direct supervision of the Director of Library and Media Services, the Head of Circulation is responsible for administrative and direct service work, overseeing all circulation operations in the high school library. The position ensures that students and staff experience welcoming, efficient, and equitable access to library resources, technology, and spaces in support of teaching, learning, and student well-being.

A bachelor’s degree from an accredited institution is required, or an associate’s degree plus significant library experience; Graduate coursework or a Master’s in Library and Information Science (MLIS/MLS) is a plus but not required.

Profile of a Pinkerton Head of Circulation

The most important role of the Head of Circulation is to support the library program and the school community. The Head of Circulation works directly with students and Pinkerton community members, where they engage and support library users in academic and personal pursuits. The development of this culture allows students to make connections, foster a sense of belonging, and enhance their personal learning.

The Head of Circulation should be a welcoming, patient, and reliable facilitator of the library space who models Pinkerton's core values of courtesy, respect, and responsibility. Essential Skills and Abilities of a Pinkerton Head of Circulation

Circulation Operations & Technology Management
  • Supports all daily circulation desk functions, including check-in/check-out, renewals, holds, reserves, fines/fees, and patron registration for students, teachers, and staff
  • Monitor circulation transactions and records in the ILS to ensure accuracy; troubleshoot system issues and serve as the primary circulation contact with the library network/vendor as needed
  • Maintain patron records, item statuses, and circulation parameters in collaboration with the Director
  • Complete overdue, lost, and damaged materials processes, including notices, billing, and appeals
  • Apply circulation policies consistently and fairly while maintaining a student-supportive and centered approach
  • Prepare circulation and patron-use reports; share data with the Director to inform collection development, weeding, and programming decisions
  • Identify workflow or service issues at the circulation desk and recommend improvements to procedures, technology, or staffing patterns
Staff & Student Supervision
  • Train and schedule circulation assistants, work-study students, and volunteers
  • Develop and maintain detailed training manuals and clear procedures for all circulation processes
  • Suggest ongoing professional learning opportunities for library aides
  • Manage adequate desk coverage during school hours, as well as during special schedules, or as assigned
  • Model professional, welcoming, and inclusive behavior at all times
Patron & Instructional Support
  • Assist students, teachers, and staff in locating materials and using the catalog and online databases
  • Provide readers' advisory service and research assistance in collaboration with library faculty
  • Help students navigate technology needs, including device access, printing, and school-issued technology troubleshooting
  • Orient new students and staff to the library
  • Support information literacy instruction in collaboration with the library team
  • Respond to patron concerns with empathy and a commitment to problem-solving
Policy, Safety, & Student-Centered Service
  • Implement and interpret library policies and school rules at the circulation desk with consistency, fairness, and student empathy
  • Apply the library's discipline framework while maintaining a positive, low-key approach
  • Maintain a calm, peaceful library environment through proactive supervision and careful adherence to the library’s rules and expectations
  • Contribute to the library's culture by creating a welcoming space that fosters belonging, supports learning, and promotes social-emotional well-being
  • Help maintain a safe, orderly environment by monitoring student behavior, responding to concerns, and following school safety protocols and emergency procedures
  • Maintain strict confidentiality of patron records and student information
Collection Management & Space Organization
  • Support shelving, shelf-reading, shifting, and locating missing items
  • Coordinate student and staff efforts to maintain organized, attractive, and accessible shelves
  • Assist with inventory management, weeding projects, and basic book repair
  • Monitor and replenish circulation desk supplies
  • Support library displays, signage, and promotional efforts that highlight diverse resources and programs
  • Maintain organized, user-friendly workspace at the circulation desk
Data, Communication, & Professional Collaboration
  • Participate in library staff meetings and contribute to ongoing professional learning
  • Attend circulation-focused professional meetings and communicate updates to staff
  • Collaborate with library faculty on selection and ordering of circulating materials according to the library's collection development policy
  • Contribute content and data to library communications, newsletters, and social media as appropriate
  • Participate in library programming, makerspace projects, and engagement activities
  • Stay current with emerging library technologies and best practices
  • Maintain regular communication with the Director regarding circulation operations, staffing concerns, and student needs
  • Support the library's alignment with Pinkerton's strategic plan
