Overview
We are seeking a dynamic and highly organized Business Office Manager to lead the administrative and operational functions within a healthcare practice. This pivotal role combines financial oversight, team supervision, compliance management, and patient service excellence to ensure the smooth running of daily operations. The ideal candidate will bring a proactive approach, exceptional management skills, and a comprehensive understanding of healthcare office workflows to foster an efficient, compliant, and patient-centered environment.
Responsibilities
- Monitor’s billing and collection activities. Coordinates with third party biller if applicable.
- Assures proper accounting procedures and controls are in place and followed, especially segregation of duties.
- Analyzes collections on a monthly basis.
- Responsible for all aspects of the resident trust accounting system, including security of patient funds.
- Manage the Medicaid pending application and conversion process to ensure timely resolution.
- Ensures procedures are followed to achieve an accurate and timely closing at month end and is the coordinator for the triple check process.
- Ensures all required records are maintained and submitted, as appropriate, in an accurate and timely manner and in compliance with federal and state regulations
- Hires and provides orientation/training
- Payroll, bi-weekly
- Assist in the Quality Assurance and Performance Improvement (QAPI) process
Qualifications
- Proven experience in medical office management or healthcare practice management with a strong background in clinic or dental office environments.
- Demonstrated supervisory experience leading teams within a healthcare setting.
- Extensive knowledge of fiscal management practices including budgeting, financial analysis, and medical billing processes.
- Proficiency with EMR/EHR systems such as Eaglesoft, Dentrix, Epic, or eClinicalWorks; familiarity with managing electronic health records is essential.
- Strong understanding of healthcare regulations including HIPAA compliance and JCAHO standards.
- Excellent managerial communication skills paired with customer service expertise to support staff development and patient satisfaction.
- Experience with managing healthcare staff in acute care or hospital settings is highly desirable.
- Knowledge of medical terminology, medical records management, and health regulation policies is required for success in this role.
