Position Details
Status: Full-time, Hourly
Shift: Monday - Friday, Days
Position Purpose: The Administrative Office Assistant will be the first point of contact for the Administration suite whether in person or via telephone. The position provides clerical and general assistance to Administration, Accounting, Human Resources, Quality/Risk Management, Marketing, AHEC, and Education departments. Support services include but are not limited to: scheduling, sorting, prioritizing, and distributing mail, ordering supplies, filing, clerical functions, i.e., preparing all types of correspondence (letters, memos, agendas, notices, meeting minutes, etc.) Coordinates activities for the executive administrative team for travel, meetings or conference arrangements as requested. Maintains and updates the Administrative Policy and Procedure Manual. Develops/assembles information for Board and Committee meetings.
Education: High School diploma or GED equivalent.
Certification/Licensure: N/A
Prior Experience: Minimum of 1 year experience in an active office setting, preferably in a hospital/healthcare setting.
Proficiencies: Proficiency in Microsoft Office (particularly Excel, Word, Outlook (email and calendar) and Power Point). Highly proficient in typing.
Skills and Abilities: Analytical and problem solving. Time management and organizational skills. Dependable. Independent initiative to take on responsibilities and challenges, requiring little or no supervision. Aptitude and initiative to cross-train in various duties. Processing information, including compiling, coding, categorizing, calculating, tabulating, auditing and verifying information/data. Communication skills, including English language proficiency and ability to effectively convey/communicate information to others. Attention to detail and accuracy, including timely completion of tasks within established deadlines. Ability to identify, track and reconcile errors. Establishing and maintaining constructive and cooperative working relationships with others (intrapersonal skills). Integrity to maintain honest and ethical administrative and compliance operations. Stress tolerance and self control in dealing with multiple projects, deadlines and difficult situations so as to maintain composure, control anger, and avoid aggressive or disruptive behavior. Wage Rate Range: $19.00/HR - $26.00/HR, based on experience.
