Position Overview:
The Operations Coordinator is a vital support role, helping to manage the flow of work across departments, maintain our automotive brand compliance and co-op processes, and assist with tracking timelines, scope, and resources. This person will be deeply embedded in our project management systems and work closely with department leads to support daily operations and ensure internal processes run smoothly.
Compensation: $50,000
Key Responsibilities:
Automotive Brand Compliance & Co-op Management
- Manage the compliance review process for automotive creative projects, ensuring all marketing materials follow brand guidelines specific to each manufacturer
- Collaborate with creative and account teams to resolve compliance issues before submission
- Oversee co-op program submissions, ensuring timely and accurate filing to maximize client reimbursement opportunities
Scope & Operational Oversight Support
- Help track the scope of work details and identify when work may be out of scope
- Assist with monitoring billable vs. non-billable time and logging time entries accurately
- Support weekly reporting on team capacity and utilization
Process Optimization & Workflow Support
- Maintain consistent use of project management platforms and support the adoption of best practices
- Help ensure project timelines are realistic and met, adjusting task schedules as needed
- Proactively flag bottlenecks or delays to leadership for resolution
Qualifications:
- 1–3 years of experience in agency operations, traffic coordination, or project support
- Excellent organizational and communication skills
- Familiarity with tools like Asana, Harvest, or similar platforms
- Detail-oriented, proactive, and comfortable working across multiple teams
- Experience with automotive marketing or brand compliance is a plus
