Job Description:
The Operations Coordinator supports the day-to-day administrative, logistical, and operational functions of the organization. This role ensures that internal processes run smoothly, compliance standards are upheld, and staff are equipped with the tools and resources they need. The Operations Coordinator plays a key part in communication across departments, overseeing scheduling, managing supply chains, and coordinating internal workflows for efficiency and effectiveness.
Position Overview:
As a central point of coordination, the Operations Coordinator helps maintain structure and consistency across programs and services. This role acts as a liaison between administrative, clinical, and peer support teams and supports leadership in ensuring that organizational goals are met. The Operations Coordinator is detail-oriented, proactive, and committed to high-quality service delivery and compliance.
Key Responsibilities:
- Manage daily office operations, including facility oversight and supply management
- Support staff scheduling, training coordination, and internal communications
- Monitor compliance timelines for documentation, audits, and service delivery requirements
- Maintain inventory of client and office materials; order supplies as needed
- Assist with onboarding processes and tracking certifications or required credentials
- Collect, review, and organize data from programs for reporting or review
- Support incident reporting, safety checks, and recordkeeping
- Coordinate logistics for meetings, trainings, and agency events
- Act as a communication bridge between departments and leadership
- Ensure that operations align with HIPAA, Medicaid, and internal organizational policies
Job Requirements:Required:
- High school diploma or GED
- 2 years of administrative, operational, or coordination experience
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Excellent organizational and time-management skills
- Strong interpersonal and communication abilities
- Ability to manage confidential information with discretion
- Understanding of HIPAA and standard compliance practices
