What are the responsibilities and job description for the Development Administrator position at PILLARS INC?
The Pillars Community Engagement team is recruiting for a new part time staff member. The Development Administrator would generally work 24 hours per week, Monday - Friday.
SUMMARY: From homelessness to coming home, Pillars provides shelter, support, and solutions to address the housing needs in our community. The Development Administrator is part of the Community Engagement Team. The Community Engagement Team encourages a culture in which donors and volunteers are seen as part of the Pillars team and is responsible for connecting the resources of our community with the needs of Pillars. Community Engagement activities include fundraising, outreach to donors, grant-writing, volunteer recruitment, public relations initiatives, media relations, community involvement, and event planning. The Development Administrator supports the team by overseeing the donor database, maintaining data integrity, facilitating donor communication, and generating reports. During peak times, this role may assist with event planning and fundraising campaigns. This is a flexible part-time role (24 hours per week, M-F) with the option to work partially from home.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Has a passion for the mission of Pillars and displays agency values: Respect, Collaboration, Empowerment and Grit.
- Enters all financial gifts, grants, in-kind donations and pledges into the donor database; collaborates with the Community Engagement team to create gift entry procedures that build better relationships.
- Writes, generates and sends gift acknowledgments – letters, emails and the like.
- Maintains donor records meant to foster collective relationship building by the Executive Director, Board Members, and Community Engagement and Leadership Teams.
- With the Development Manager and Community Engagement Director, generates accurate data and analytics to enhance understanding of donors and effectiveness of fundraising activities.
- Facilitates the team’s promise-keeping to funders, donors, volunteers and other partners by creating, assigning and holding team members accountable to tasks in the database: grant reporting, sponsor payments, donor relations, volunteer follow-up, etc.
- Partners with the team to complete event-related administrative tasks such as printing letters and managing registration; generating reports in support of event committee work.
- Provides customer service to donors and other external stakeholders.
- Assists with outreach events and community engagements when required.
- Spends time regularly with client-facing staff, to better understand Pillars programs and those we serve.
- Other duties as assigned.

QUALIFICATIONS:
- High school diploma or equivalent required; some post-secondary education strongly preferred.
- Previous database or CRM systems experience required.
- 2-3 years’ experience in fundraising, membership, or business administration strongly preferred.
- Experience using Microsoft products – especially Excel – strongly preferred.
- Possess and maintain a valid Wisconsin driver’s license.
- Ability to travel locally, with access to a reliable vehicle and personal auto insurance which meets Pillars minimum requirements for liability (100/300/100).

COMPLIANCE ACCOUNTABILITIES: The Development Administrator acts in accordance with Pillars’ policies and procedures, complete all required compliance training/continuing education within specified timeframe, and maintain a thorough knowledge of all internal operating procedures, as well as applicable laws and regulations.

COMPENSATION: The compensation for this position is an hourly wage of $20.08. Benefits include a retirement plan and an Employee Assistance Plan.
