Job Overview
We are seeking a highly organized and detail-oriented Administration Assistant to support our office operations. The Administration Assistant plays a vital role in maintaining smooth daily operations and supporting various administrative functions within our organization.
Responsibilities
- Manage front desk duties, including greeting visitors and clients with professionalism and courtesy
- Operate multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, scheduling, and correspondence
- Assist with calendar management and appointment scheduling for staff and executives
- Support bookkeeping tasks using QuickBooks or similar accounting software
- Handle customer support inquiries via phone or email with excellent phone etiquette
- Maintain organized records of client information, appointments, and office supplies
- Support office management activities such as supply inventory and facility coordination
- Provide clerical support including typing reports, preparing correspondence, and managing office documentation
Experience
- Prior office experience or administrative support roles preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is advantageous
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills, both verbal and written; bilingual abilities are a plus
- Familiarity with front desk operations, multi-line phone systems, and office management procedures
- Demonstrated ability to handle customer service interactions professionally
- Attention to detail in proofreading, data entry, and filing tasks
- Previous experience as a medical receptionist or dental receptionist is beneficial but not required
- Personal assistant or calendar management experience is desirable
