SUMMARY
The Receptionist/Administrative Assistant position is responsible for answering and directing incoming calls, greeting and assisting walk-in clients, managing cleaning schedules, and handling intake for estimates and service requests. This role serves as the first impression of Mama Maids and must maintain a warm, professional, and solution-oriented demeanor through all forms of communication. The position also performs moderately complex administrative functions supporting the Operations, Scheduling, Sales, and Customer Service departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES
* Professionally answer and direct all incoming calls, texts, emails, and website inquiries.
* Greet and assist walk-in visitors, clients, applicants, and vendors in a friendly and professional manner.
* Manage daily cleaning schedules and coordinate route adjustments with cleaning technicians and management.
* Handle intake for new client quotes by gathering property details, scheduling walkthroughs, and entering information into company systems.
* Confirm upcoming appointments and communicate schedule changes with clients and staff.
* Maintain accurate client records, notes, and service details within Jobber and company systems.
* Monitor and respond to website requests, social media messages, and online inquiries.
* Assist with onboarding paperwork and administrative support for field staff.
* Coordinate meeting room setup for interviews, team meetings, or client consultations.
* Prepare, print, organize, and distribute company documents, checklists, and training materials.
* Assist with quality control follow-ups and customer satisfaction communications.
* Carry out administrative duties such as filing, scanning, copying, data entry, and office organization.
* Assist with supply ordering and maintaining office inventory.
* Support marketing, operations, training, and management teams with administrative tasks as needed.
* Maintain confidentiality regarding company, employee, and client information.
