Defense Contractor Logistics & Warehouse Manager

Position Summary

Pickering Aviation Defense Solutions (PADS) is seeking an experienced, highly organized, detail oriented Logistics & Warehouse Manager to lead and develop our newly opened warehouse and logistics operations in Sterling, Virginia.

This is a hands-on position for an individual who is comfortable taking ownership of the entire warehouse facility and related logistics functions. The Logistics & Warehouse Manager will be directly involved in receiving, inspection, inventory control, military packing, packaging and labeling, shipping, documentation, and day-to-day warehouse operations while also developing the procedures and infrastructure necessary to support PADS as the company grows.

Because PADS operates within the domestic and foreign aerospace and defense industry, this position requires exceptional attention to detail, documentation, traceability, quality, and regulatory compliance. The position also requires an individual who can pass a background check, as related government data is controlled.

The successful candidate will initially serve as a hands-on individual contributor and will have the opportunity to build and manage a warehouse/logistics team as company operations expand.

Essential Duties & Responsibilities

Receiving & Inspection

· Receive incoming aerospace and defense components, materials, and equipment.

· Verify incoming shipments against purchase orders and other receiving documentation.

· Confirm part numbers, serial numbers, quantities, condition, and other identifying information.

· Review applicable traceability and airworthiness documentation, including FAA Form 8130-3, OEM Certificates of Conformance (CoCs), removal documentation, historical records, and other supporting records.

· Inspect incoming material and packaging for damage, discrepancies, or other nonconformities.

· Maintain authority to accept, reject, quarantine, or place material on hold when receiving or documentation requirements are not satisfied.

· Coordinate resolution of discrepancies with Quality, Operations, suppliers, customers, and management as appropriate.

Inventory & Warehouse Management

· Receive incoming inventory from other facilities within organization

· Maintain accurate inventory records within PADS systems.

· Manage warehouse locations, bin assignments, labeling, identification, and material segregation.

· Maintain proper control and segregation of serviceable, unserviceable, quarantined, customer-owned, government-owned, and other controlled material as applicable.

· Conduct cycle counts and physical inventories and investigate discrepancies.

· Maintain accurate control of serialized aerospace components.

· Monitor shelf-life-controlled material when applicable.

· Ensure material is appropriately protected, stored, and preserved.

· Maintain a clean, secure, organized, and professional warehouse facility.

· Develop warehouse layouts, processes, procedures, and controls as PADS operations grow.

Shipping & Logistics

· Manage domestic and international outbound shipments from preparation through final delivery.

· Package aerospace and defense components appropriately based on item characteristics, customer requirements, contractual requirements, and applicable regulations.

· Generate shipping labels, packing slips, commercial shipping documentation, and other required records.

· Coordinate shipments using FedEx and other parcel, LTL, freight, hotshot, and specialized transportation providers.

· Schedule carrier pickups and coordinate inbound and outbound freight.

· Track shipments and proactively address delays, damage, delivery exceptions, or other transportation issues.

· Coordinate freight claims, shipping refunds, and transportation discrepancies when required.

· Develop and manage relationship with shipping and freight companies

· Serve as the Hazmat coordinator, maintaining a Hazardous Material Handling and Shipping certification, and preparing Dangerous Goods Declaration (DGD) for required shipments.

Government & Defense Shipments

· Prepare and process shipments supporting U.S. Government, Department of Defense, and allied foreign military contracts.

· Review contract and shipping requirements to ensure orders are packaged, marked, documented, and shipped correctly.

· Support DLA/DIBBS fulfillment requirements.

· Understand and apply applicable military packaging, labeling, and marking requirements, including MIL-STD-129 and other contractual requirements when applicable.

· Support RFID, WAWF, and other government shipment requirements as applicable to individual contracts.

· Maintain shipping and receiving records necessary to demonstrate contractual compliance.

International Shipping & Export Compliance

· Support international shipments of aerospace and defense products.

· Prepare commercial invoices, packing documentation, carrier documentation, and other international shipping records.

· Support AES/EEI filing and other export shipment documentation as required.

· Coordinate closely with PADS’ Empowered Official and management regarding ITAR, EAR, export licenses, license exemptions/exceptions, and other export-control requirements.

· Verify that export-controlled material is not released or shipped without all required internal approvals and applicable authorizations.

· Maintain appropriate records associated with international and export-controlled shipments.

Due to the nature of PADS’ business and this position’s access to export-controlled and defense critical commodities, technical data, and information, employment is contingent upon the candidate being legally eligible to access such items and information under applicable U.S. export-control laws and regulations, including ITAR and EAR requirements.

Quality & ISO 9001 Responsibilities

· Perform warehouse and logistics activities in accordance with PADS’ ISO 9001:2015 Quality Management System (QMS).

· Maintain complete and accurate receiving, inspection, inventory, and shipping records.

· Ensure product identification, traceability, preservation, and control requirements are maintained throughout warehouse operations.

· Identify and properly control nonconforming product.

· Assist with internal and external quality audits.

· Participate in corrective actions and continuous improvement activities involving warehouse and logistics operations.

· Develop, maintain, and improve warehouse and logistics procedures, work instructions, and related documentation.

· Identify opportunities to improve efficiency, accuracy, quality, and scalability.

Vendor, Customer & Internal Coordination

· Coordinate with suppliers regarding incoming shipments, missing documentation, damaged material, discrepancies, RMAs, and other logistics matters.

· Coordinate movement of material to and from repair and overhaul facilities when required.

· Work closely with PADS Operations, Quality, Sales, Finance, and management to ensure customer and contractual requirements are met.

· Communicate shipping status, receiving discrepancies, inventory issues, and other material concerns clearly and promptly.

Facility & Safety Responsibilities

· Maintain overall organization, security, cleanliness, maintenance, and safety of the warehouse.

· Control warehouse supplies, packaging materials, shipping equipment, and material-handling equipment.

· Operate forklifts, pallet jacks, and other warehouse equipment safely.

· Coordinate loading and unloading of trucks and freight shipments.

· Maintain appropriate warehouse access and material-security controls.

· Coordinate with maintenance contractors, as needed.

· Ensure warehouse operations comply with applicable company safety policies and requirements.

Leadership & Growth

This position is expected to take ownership of PADS’ warehouse and logistics function.

The Logistics & Warehouse Manager will initially be a hands-on individual contributor responsible for executing daily warehouse operations while simultaneously developing scalable processes and procedures.

As PADS grows, this position may be responsible for recruiting, training, supervising, and developing additional warehouse and logistics personnel.

The successful candidate should be comfortable both working on the warehouse floor, physically handing boxes and materials, and developing the systems, procedures, and controls needed to build a professional aerospace and defense logistics operation.

Required Qualifications

· High school diploma or equivalent.

· Demonstrated professional experience in warehouse, logistics, inventory, shipping, receiving, or related operations.

· Strong understanding of inventory control and warehouse management practices.

· Experience reviewing shipping, receiving, and traceability documentation.

· Ability to accurately manage part numbers, serial numbers, quantities, and detailed documentation.

· Forklift experience and ability to safely operate forklifts and pallet jacks.

· Strong computer skills, including Microsoft Office applications.

· Ability to learn and effectively use PADS’ AHT business/ERP system.

· Experience with FedEx shipping systems or similar carrier platforms.

· Strong organizational and time-management skills.

· Exceptional attention to detail and documentation accuracy.

· Ability to work independently, prioritize competing requirements, and take ownership of assigned responsibilities.

· Ability to communicate professionally with customers, suppliers, carriers, and internal personnel.

· Must be legally eligible to access export-controlled commodities, technical data, and information required for the position under applicable U.S. export-control laws and regulations.

· Ability to travel occasionally as business requirements dictate.

· Ability to occasionally come to work early and stay late

Preferred Qualifications

· 5–10 years of warehouse, logistics, inventory, or related experience.

· Previous aviation, aerospace, defense, military, or government-contracting experience.

· Experience handling serialized and traceability-controlled aerospace components.

· Familiarity with FAA Form 8130-3, Certificates of Conformance, removal documentation, and aerospace traceability records.

· Experience with DLA/DIBBS or other U.S. and allied foreign Government contracts.

· Familiarity with MIL-STD-129 and military packaging and marking requirements.

· Experience with WAWF and government shipment documentation.

· Familiarity with ITAR, EAR, AES/EEI, and international shipping requirements, including Hazmat processes.

· Experience working within an ISO 9001 or similar Quality Management System.

· Previous experience developing warehouse procedures, SOPs, or work instructions.

· Previous warehouse leadership or supervisory experience.

· Fluent in English both written and spoken with ability to compose written professional documents and messages.

Physical Requirements

This position requires regular physical activity associated with warehouse operations. The employee must be able to:

· Routinely lift and move items weighing up to 50 pounds, with materials occasionally weighing more.

· Stand and walk for extended periods.

· Bend, reach, kneel, and perform other physical activities associated with receiving, storing, packaging, and shipping material.

· Safely operate forklifts, pallet jacks, and other material-handling equipment.

· Load and unload trucks and freight shipments.

· Occasionally handle, store, and pack Hazardous Materials and perform required documentation

· Work safely in a warehouse environment.
