The Administrative Assistant at Pick Heaters, Inc. plays a key role in supporting daily office operations, customer communications, and sales coordination. The primary responsibility is the courteous and efficient facilitation of telephone calls and visitors to our facility. In addition, this position will support our Internal Sales department and Marketing Manager, as well as be a liaison to our Outside Sales Representatives. Also, this role provides backup for essential Sales/Order Entry departmental tasks when needed. This hourly position will report to the Director of Finance and Administration. ESSENTIAL DUTIES & RESPONSIBILITIES:Courteously and promptly determines nature of a caller's business and directs callers and visitors to the appropriate person or takes messages (including all pertinent information) for the person called.Operates telephone console to facilitate internal messages and telephone transfers.Provides answers to routine inquiries and other information as appropriate.Sorting & delivery of daily inbound & outbound mail.Assist with website and email lead requests & parts quoting.Assist with shipping documentation.Provide info/assistance to Outside Sales Representatives.Monitor customer service emails.Maintain files and documentation thoroughly and accurately in accordance with company policy.All other duties as assigned. QUALIFICATIONS:High school diploma, general equivalency diploma (GED) or equivalent combination of education and experience.Ability to read and comprehend simple instructions, short correspondence and memos.Ability to perform basic math functions of addition, subtraction, multiplication and division.Ability to apply common sense understanding in carrying out detailed written or oral instructions or requests.Ability to work with a wide range of personalities in a courteous, effective and efficient manner.5 years of experience or equivalent combination of education and experience.Durable Goods Manufacturing or related industry experience is a plus.ERP experience.
