Job Summary
The Piatt County Sheriff’s Office is now accepting applications for the position of Administrative Assistant. Starting pay is $47,465.60 and increasing to $51,646.40 after the first year. This also includes the county benefit package. This is a full-time position with work hours being Monday through Friday, 7:30 am to 4:30 pm with 15 paid holidays.

The Administrative Assistant for the Piatt County Sheriff’s Office is a non-sworn union position that performs administrative work for the Sheriff’s Office with a variety of administrative and clerical tasks including managing the business office and performing related functions in support of agency operations. Work is performed under the general direction of the Piatt County Sheriff.

Essential Job Functions

· Administers all aspects of the business office.

· Build and maintain positive relationships with the community.

· Handles inquiries, calls, and visitors to office – provides assistance, direction or information.

· Utilizes records management systems – manages data entry, dissemination and reporting of authorized information, and associated filing systems.

· Maintains confidentiality of information, secures and retains records as required – manages the expungement of records.

· Administers an accounting of fiscal and/or financial accounts – monitors expenditures.

· Prepare accounts for audits.

· Assists with budgetary planning.

· Oversee time keeping and payroll.

· Compiles information to handle Freedom of Information Act (FOIA) requests.

· Prepares and disseminates media releases or social media posts as needed.

· Collects and/or records statistical data-information to be released to community and others.

· Prepare reports, spreadsheets, charts or graphs.

· Provides other general clerical or file work.

· Maintains professional appearance and keeps assigned equipment in a state of operational readiness.

· Assists with other administrative matters as directed.

· Meets applicable training and accreditation standards.

Additional Duties

Performs additional duties to support operational requirements as assigned.

Minimum Qualifications

Education and Experience: Any combination of education and experience equivalent to graduation from high school including or supplemented by computer coursework and intermediate experience with administrative work.

Licenses or Certifications: Ability to become Illinois Law Enforcement Agencies Data System (LEADS) certified

Knowledge, Skills and Abilities:

· Knowledge of Sheriff’s office operations and concepts of public service.

· Knowledge of criminal justice standards, rules and regulations, and best practices.

· Knowledge of standard administrative and office practices, procedures, equipment and techniques.

· Knowledge of business English, spelling and arithmetic.

· Knowledge of the organization and functions of the department and of general administrative policies and practices.

· Knowledge of Microsoft Office suite of programs for the purposes of creating and formatting documents, graphs, presentations, databases and spreadsheets.

· Knowledge of accounting terminology, methods, procedures, and equipment.

· Skill in providing excellent customer service.

· Skill in problem-solving.

· Skill in effective account analysis and good follow-up.

· Skill in communicating effectively both orally and in writing in a highly interactive team-oriented work environment.

· Ability to safeguard the rights of all people and uphold the agency’s mission.

· Ability to make good decisions and successfully work under stressful conditions.

· Ability to problem solve and identify and utilize available resources.

· Ability to understand and follow oral and written directions.

· Ability to multitask.

· Ability prepare and maintain records, files, and reports.

· Ability to perform and organize work independently.

· Ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor.

· Ability to establish and maintain effective working relationships with associates and the general public.

· Ability to maintain regular and predictable attendance at work.
